A company that offers a comprehensive range of interventions, from the selection of people to be trained and the designing of the course material to the actual training has an exciting opportunity for a quality-oriented Academic Team Leader in KwaZulu Natal.
The primary requirement for this position will be to oversee and coordinate all learning and operations within the I Can! Disability Academy.
- NQF 5 qualification or equivalent
- 1 Years management experience required

Academy Operations
- Ensure a clear understanding of project deliverables.
- Ensure learners are screened and meet the entry requirements of the selected qualification.
- Ensure adherence to the prescribed learnership milestones as per the project plan.
- Ensure operational deadlines are met so that learner complete within the learnership timeframes and according to schedule.
- Proactively report challenges facing the disability learnerships to the relevant Manager.
- Completion of monthly report timeous and accurately
- Coordinate site visits.
- Maintain learner spreadsheets.
- Manage daily operations of Academy.
- Ensure adherence to Academy Standard Operating Procedures.
- Submission of documents to Regional Seta when required.
Management of Learner Wellbeing
- Review, analyse and follow up on al escalated learner absenteeism.
- Identify and escalate learners at risk (attendance, completence etc.)
- Review any escalated individual learning problems of learners.
- Ensure availability of support services to learners.
- Schedule fun days for the learners and celebrate disability days.
- Maintain discipline in the Academy
Facilitation and Training
- Liaise with facilitators through a weekly meeting to ensure delivery of training program.
- Address facilitators challenges identified through meetings and/or facilitator reports
- Ensure facilitators effectively engage with learners and that knowledge transfer takes place.
- Conduct internal audit of facilitation sessions taking, resulting in quality training taking place according to required I Can! standards.
- Review and modify training objectives, methods and course deliverables.
- Review facilitator report, complete facilitator report checklist and submit to the administrator.
- Ensure all the necessary material and equipment is supplied for each module.
- Ensure all documentation is filed correctly in learner POE and Quality file.
- Ensure POE and Quality file is methodologically maintained and auditable.
Practical Work
- Ensure practicals are planned and organized per module and that sufficient practicals are taking place.
- Ensure logbooks are completed and evidence provided.
- Plan, budget and order material required for learner practical work and assessments.
- Submit budget to manager for sign off.
Assessments
- Ensure assessments are executed according to scheduled timeframes
- Ensure learners are notified of assessment timeously.
- Ensure all documentation for assessments are supplied timeously and completed accurately
- Ensure assessments are completed and conducted according to requirements; this includes but is not limited to pre-assessments, post-assessments, and remediation.
- Ensure adherence to assessment principles.
- Ensure assessments are conducted fairly and according to required standard.
- Ensure assessments are quality checked and gaps are closed prior to assessment being scheduled
- Receive files back from assessor and check for completeness and quality of assessment done
- Ensure all learners receive feedback on assessments.
- Ensure assessor reports are reviewed, feedback from report is implemented and reports are submitted to the administrator.
- Ensure all assessments packs (pre-assessments, formative and summative assessments, remediation, post-assessment and assessment feedback forms) are checked and handed over to the administrator
Moderation
- Schedule internal and external moderation in conjunctions with the CEO.
- Ensure all files are prepared and quality checked for internal and external moderation (POE and Quality file).
- Ensue files are send timeously for moderation.
- Supply COE with feedback on moderation report.
- Action feedback on internal moderation from the COE and implement changes.
- Send final moderation report to the administrator.
- Receive files back from Moderator and check for completeness and quality moderation done.
HR
- Ensure that the academy is optimally resourced.
- Manage the performance of the academy staff in line with the People Development Policy.
- Ensure effective implement current HR policies, procedures and labour legislation.
- Ensure that all staff is properly trained and have all required systems and hardware to execute their jobs effectively.
- Ensure accurate information is submitted for payroll before monthly deadline.
Workplaces
- Plan, organise, control, and coordinate all learner placements and/or administrative aspects relating to the workplace hosting of identified learnerships
- Support the induction process:
- Ensure learners are informed of the induction
- Induct learners on the Code of Conduct
- Arrange relevant work readiness training
Responsible for host site placements of learners
- Finding suitable host sites for learner placements
- Ensuring site audits are done prior to learner placements (accessibility OHS)
- Ensure host site has workplace approval aligned to the qualification and overall vetting of host sites for the learners - working conditions/compliance i.e. BCOEA, Learnership Regulations etc
- Ensure a Statement of Work has been signed by both parties once learners are assigned to relevant Host sites
- Manage all roles responsibilities as outlined in the Statement of Work
- Maintaining good relationships with host sites
On-going management of hosting relationship
- On-going learner management
- Attendance_ ensure there is a system/ process in place for timeous reporting on attendance
- Learner discipline_ Follow up on learner disciplinary issues and ensure they are resolved as per the client’s HR requirements with the help of the SDM
- Pscyo-social support_ Arrange for learner’s support when necessary
- Support workplace mentors on client sites including up-front and on-going coaching
- Site sensitization (reasonable accommodation)
- Behavioural observations support
- Logbook support
- Regular site visits
- Attend client and host employer meetings as required
- For Academy Sites:
- Once site has been approved and Statement of Work has been signed, hand over to Academy Supervisor who will be responsible for learner management
- Quarterly site visits
- Adhoc support where required
Reporting on learner progress
- Document Site supervisor feedback
- Record Learner attendance progress according to client specifications
- Take pictures and/or document learners performing tasks where necessary
Client Reports
- Compile client monthly and close out reports submitted to Senior Manager Operations.
