Job Purpose:
The Agricultural Account Executive GIT will provide administrative and operational support to the Agricultural Account Executive, ensuring efficient management of client relationships, transport orders and reporting. The role involves assisting with quotations, order processing, customer updates and maintaining accurate records. Additionally, the assistant will be responsible for accurately and timeously updating the in-house accounting and transport management system, ensuring seamless order management, invoicing and performance monitoring. A basic understanding of typical South African agricultural equipment makes and models is required to support client interactions effectively.
Key Responsibilities:
Administrative Support:
- Assist the Agricultural Account Executive in preparing and issuing transport quotations to clients.
- Process and manage transport orders, ensuring all details are accurately captured and communicated to the operations team.
- Maintain up-to-date records of client interactions, orders, and service delivery metrics.
Customer Communication: - Provide daily updates to clients on the status of their transport orders, including tracking reports and estimated delivery times.
- Address routine client inquiries and escalate complex issues to the Agricultural Account Executive.
Transport Management System: Accurately and timeously update the system, ensuring that:
- Orders are correctly captured and manifested.
- Branches and cost centres are correctly allocated.
- Load completion is managed, and deliveries are debriefed.
- Invoices are generated and sent to customers.
- Ensure drivers consistently and accurately use their mobile applications and that Proof of Delivery (POD) documents are correctly sent to customers.
- Monitor the Transport Management System’s dashboard to track performance against targets and address deficiencies.
Reporting and Documentation: - Assist in preparing monthly customer reports, summarizing order performance, service levels and adherence to KPIs.
- Ensure all documentation, including invoices and contracts, is accurate and filed appropriately.
Coordination with Operations: - Liaise with the operations team to schedule and monitor the execution of transport orders.
- Track order progress and proactively address any delays or issues.
- Address any operational challenges or delays proactively to minimize impact on clients.
Invoicing and Billing: - Ensure that all loads are accurately invoiced and that billing details align with client agreements.
- Address any billing discrepancies or queries promptly and professionally.
Basic Equipment Knowledge: - Utilize a basic understanding of typical South African agricultural equipment makes and models (i.e. John Deere, Case, New Holland, Massey Ferguson, etc.) to support client interactions and provide tailored assistance.
Query and Complaint Handling: - Assist in resolving routine client queries and complaints, escalating more complex issues to the Agricultural Account Executive.
Qualifications and Experience: Education:Matric (Grade 12) required and diploma or degree in
Agriculture, Business,
Logistics or a related field (essential).
Experience: No previous work experience is required, as the candidate will be trained on the job requirements.
Skills:- Strong understanding of the agricultural sector and its transport needs.
- Basic knowledge of typical South African agricultural equipment makes and models (e.g. John Deere, Case, New Holland, Massey Ferguson, etc.).
- Excellent communication, and problem-solving skills.
- Proficiency in Afrikaans and English is essential.
- Proficiency in Microsoft Office Suite.
- Experience with transport management systems is highly desirable.
- Ability to multitask and prioritize in a fast-paced environment.
- Attention to detail and a high level of accuracy.
