Or client is a well-established and growing Property Management and Maintenance Company based in South West London.

The successful applicant will work as part of a team, managing the contractual maintenance obligations for their 600 managed properties and for external clients as they expand. No day will be the same as you undertake a vast array of different tasks over the course of a week with problem solving, time management and organization essential to ensuring the Contractors and Tradesmen you work with are on time, within budget and complete the appropriate works to fulfil their, and our client’s commitments to properties they look after.


The Role
The Contracts Coordinator will be someone who can manage the administration and delivery of a portfolio of contractual maintenance obligations for their buildings. This will involve identifying and onboarding contracts from properties newly engaging our client as Property Manager, recording and updating the database of contracts currently held and methodically ensuring each contract is fulfilled and the requisite job report and invoices are completed appropriately.

The role will also involve scheduling works on their software, speaking to Contractors on site, arranging building access and business development to grow the contracts portfolio.


Duties

  • Efficiently schedule works for completion using the contract database. 
  • Invoice and report on successful property visits while undertaking the required actions
    for visits requiring further works or customer interaction.
  • Update the contracts database to record the status of visits.
  • Exhibit excellent customer service skills with all internal and external stakeholders
    through the various stages of the onboarding and ongoing contract completion process.


Skills & Experience

  • Previous job maintenance coordination and administration experience would be
    preferred but not essential. An energetic and hardworking persona are more important
    though.
  • Professional customer service skills.
  • An analytical mindset is required to complete all required obligations within appropriate
    timeframes.
  • Multitasking skills required to balance numerous different projects at the same time at
    different stages of completion.
  • Proficiency in Microsoft Excel is a must.
  • High standard of communication skills, both written and oral.
  • High attention to detail.
  • Ability to build strong working relationships.
  • Ability to work to deadlines and under pressure.
  • Problem solving.
  • Teamwork.


Salary: R15,000 - R21,500 per month

Standard hours: 08h00-17h00 UK Time, Monday-Friday
