Development Administrator

SUMMARY:
Provide administrative and coordination support to the Agile Project Coordinator and Software Development Department to ensure smooth project execution, accurate reporting, proper documentation management, and effective departmental operations.

POSITION INFO:

Our Development team is looking for a Development Administrator to provide administrative and coordination support to the Agile Project Coordinator and Software Development Department to ensure smooth project execution, accurate reporting, proper documentation management, and effective departmental operations.

Key Tasks:

Agile Project Support

• Support sprint planning, reviews and retrospectives by preparing agendas and recording minutes
• Track action items and follow up on outstanding tasks
• Maintain sprint trackers and ensure Jira boards reflect accurate status updates
• Assist with backlog hygiene and ticket categorisation
• Support monitoring of planned, unplanned and service work allocation

Documentation Management

• Maintain project documentation, including

◦ User stories

◦ Sprint backlogs

◦ Scope documents

◦ Release notes

◦ Meeting minutes

◦ Change logs

◦ Ensure documentation is stored according to departmental standards

◦ Maintain version control and structured filing

◦ Assist with audit documentation preparation

Reporting and Data Tracking

• Extract data from Jira and Faveo
• Compile weekly sprint reports
• Assist with monthly KPI reporting
• Track completed vs planned work
• Support preparation of Steering Committee or management reports
• Validate data accuracy before distribution

Departmental Coordination

• Schedule meetings for Development Department
• Distribute agendas and minutes
• Track deadlines and follow-ups
• Assist in coordinating communication between Development and other departments
• Act as administrative liaison when required

Tool and System Administration

• Support administration of:

◦ Jira

◦ Faveo

◦ Google Sheets dashboards

◦ Support cleanup and maintenance of project data

Administrative Support

• Maintain departmental records
• Assist with onboarding documentation for new software developers
• Support preparation of internal policies and procedural documentation
• Assist the Agile Project Coordinator with general project administration
• Support continuous improvement initiatives within the department

Essential Qualifications:

• Matric (Grade 12) or equivalent qualification
• Relevant Diploma or Certificate in Project Management, Business Administration, or Information Technology
• Certification in Agile or Scrum (eg. Scrum Fundamentals, Certified Scrum Master) will be advantageous

Essential Experience:

• 1–3 years’ experience in an administrative, project coordination, or development support role
• Experience working within a Software Development or IT environment
• Hands-on experience with project tracking tools (eg. Jira)
• Experience with ticketing or support systems (eg. Faveo or similar)
• Experience in compiling reports, tracking KPIs, and managing structured data (eg. spreadsheets, dashboards)
• Exposure to Agile or Scrum environments, including sprint ceremonies and backlog management
