EXECUTIVE ASSISTANT

SUMMARY:
Well established industrial company situated in Boksburg seeking an experienced, professional, detail orientated Personal Assistant to assist and support the MD / CEO and Executive Management Team.

POSITION INFO:
Key Responsibilities Executive Support Manage executive calendars and appointments. Making bookings on behalf of managers. Coordinate meetings, management meetings, and strategic planning sessions. Prepare meeting agendas and supporting documentation. Record meeting minutes. Travel Management Local and International Travel Coordination. Booking of flights, accommodation, car rental, visas appointments and travel insurance. Compilation of visa appointment packs with all required supporting documents. Ensuring credit cards are reloaded and travel wallets are issued. Prepare travel itineraries. Process travel expense claims and reconciliations upon return. Fleet & Vehicle Administration Manage vehicle licence (fleet disc) renewals. Process change of ownership for company vehicles. Coordinate vehicle branding as required. New fleet card orders - compiling supporting documentation for processing by finance department. Office & Facilities Ordering Order groceries for Head Office. Order stationery and general office supplies. Order hand paper towels and water. Coordinate office decor. Manage third-party contractors, including cleaning, maintenance, and similar service providers. Co ordinating lunch and refreshments for meetings, audits and as required. IT & Telecoms Raise and follow up support tickets for IT issues on behalf of staff. Order IT equipment and consumables. Manage cell phone contract changes and upgrades for staff. Insurance Process and follow up on insurance claims. People & Learning Administer learnership arrangements, educational programmes, and skills development coordination, including documentation preparation and quarterly progress reports. Marketing Coordination Act as the primary liaison with the Company''''''''s outsourced marketing service providers. Coordinate website updates, ensuring content remains accurate, current, and aligned with company objectives. Manage updates to company stationery, including letterheads, business cards, email signatures, and branded templates. Coordinate the review and revision of company brochures, catalogues, presentations, and other marketing collateral. Assist with the coordination of company branding initiatives, promotional materials, and corporate communications. Ensure all marketing materials remain consistent with the Company''''''''s branding guidelines and corporate identity. Minimum Qualifications Grade 12 (Matric) Diploma or Certificate in Office Administration, Business Administration, Executive Assistance, or related field Experience Essential: 5-10 years'''''''' experience supporting senior executives. Experience managing multiple executive calendars. Experience arranging local and international travel. Experience with some marketing functions.
