JOB DESCRIPTION:

EXECUTIVE PA TO senior Loss Adjuster – BRYANSTON, JHB - R30, 000 - R45, 000 PER MONTH

A Large Loss Adjustment Firm seeks a Personal Assistant for a senior Executive/ Snr Adjuster. A minimum of Grade 12 Degree/ Nat Dip and 6 years of executive Personal Assistance experience are required. You will need to be from a corporate background, fluent in Afrikaans and English, be very computer literate and have good finance/accounting skills. Ideally, you should have an above-average grasp of technology and systems. Your main focus will be to take care of all the Snr Adjusters admin so he can bill more hours.

Must have experience in the insurance industry or have a Paralegal/ Higher Certificate in Short Term (COP) qualification.

Herewith is an idea of what will be expected from a candidate:

  1. Check all incoming emails and correspondence – pro-actively attend to queries on Adjusters’ behalf including drawing up reports, agreement of loss documents
  2. Manage adjusters’ diary system and make appointments with Insured/Insured’s representative
  3. Liaise with Insurer’s external supply chain
  4. Update various internal and external claim systems on incoming emails and correspondence
  5. Keep track and update Adjusters’ timesheet – manage master document and send to the billing team
  6. Attend to corrections to reports, sort out annexures and email to Insurers – update internal/external claim system
  7. Check reports drawn up by other Adjusters, amend and send to Insurers on behalf of Adjusters
  8. Type up dictations for the day if required by Adjusters
  9. Obtain updates from executive adjusters and attend to client-specific reporting schedules – update the Internal claim system if need be
  10. Call for proformas on finalized claims – once received, independently draw auditable fee narratives, discuss with Adjusters, and have these signed off by adjusters/line manager and sent to billing – update internal claim system accordingly
  11. Assist Adjusters with their adjusting work (e.g., working on schedules, drawing up reports, checking invoices against spreadsheets for claims etc)
  12. Complete Adjusters Expense Forms / Credit Card Statements and send it to HQ with supporting documentation
  13. Attend to WIP i.e., outstanding accounts
  14. Monitor emails when he is out of the office – if for some reason being unable to attend, draw files and discuss with the adjuster on his return
  15. Attend to telephone queries by brokers, Insurer and Insured on all matters
  16. Normal day-to-day admin duties, filing, the opening of files etc.
  17. Attend to Adjuster’s travel arrangement i.e., flight, hotel bookings and visa applications, auto card statements;
  18. Must be able to work from home, i.e., have access to internet fibre network from home
  19. Must be able to work after hours if required
  20. Must be willing to travel if required
