Finance Administrator: Warehouse & Safari Shops

SUMMARY:
Finance Administrator to assist with all aspects of the Warehouse & Safari Shop accounting process.

The &Beyond Warehouse & Safari Shops require a Finance Administrator to assist with all aspects of the Warehouse and Safari Shop accounting processes. The Finance Administrator will ensure that all financial deadlines are adhered to, be involved with budgets and forecasting, participate and assist in all audit requirements in all regions, prepare management accounts and reconciliations and support the processes of the Warehouse, Safari Shop Warehouse and all Signature and Beach Shops within &Beyond.

GENERAL DUTIES

• Accurate recording and managing of financial information for the Warehouse and all Safari Shops.
• Maintaining high financial standards.
• Meeting finance deadlines.
• Collation and resolution of general ledger queries for Warehouse and Safari Shops.
• Reviewing of monthly accounts with Finance Manager.
• Reconciliation of all Balance Sheets accounts for Warehouse and Safari Shops including clearing accounts, provision accounts, inventory accounts, consignment stock and bank clearing.
• Assist in collating information necessary for budgets and quarterly forecasts.
• Prepare and submit all Capex documentation for tracking purposes.
• Support Creditors Administrator to resolve supplier queries as and when required.
• Assist Creditors Administrator with complex creditor’s reconciliations when needed.
• Support stock control processes and assisting with stock takes when necessary.

MONTH END PROCESSES

• Prepare Warehouse debtors accounts, ensure all documentation is downloaded, run statements and share with the relevant Finance Managers and Lodge Administrators in each region.
• Ensure that all debtors’ accounts are cleared monthly for both Safari Shops and Warehouse in PANStrat.
• Prepare and post all Shipment/Excon journal entries for goods shipped from South Africa to the regions.
• Run all Safari Shop revenue reports and prepare and post Handling Fees and Transport & Duties journals.
• Prepare and post Safari Shop Transport & Duties monthly provisions.
• Prepare and post monthly Standing Journals for Warehouse and all Safari Shops.
• Prepare and post all Stock Obsolescence provisions monthly.
• Clearing of Credit Card entries in PAN.
• Review all Warehouse and Safari Shop general ledger accounts and doing reallocations where required.
• Prepare management accounts for review before month end closing for Warehouse and all Safari Shops.

OTHER

• Assist Teams with stock variances where applicable.
• Assist where needed in Safari Shops to ensure we keep on delivering on our promise of

Extraordinary guest experiences.

• Complying with health and safety and other relevant regulations and guidelines.

KNOWLEDGE REQUIRED (QUALIFICATIONS AND EXPERIENCE)

• B Com or relevant qualification/experience.
• Minimum 5 years’ experience in a financial position.
• Understanding of an Inventory holding environment.
• Computer literacy – Excel is essential (preferably advanced).
• PANStrat experience and advantage.
