JOB SUMMARY:
FINANCE AND ADMINISTRATION MANAGER REQUIRED
The Finance & Administration Manager is responsible to provide the organization with guidance on the submissions of sales audits and reports, to administer internal controls, and to ensure compliance with business benchmarks. The ideal incumbent will also be expected to examine and improve operating practices and to assist with financial and risk management processes of the organization.

JOB DESCRIPTION:

FINANCE AND ADMINISTRATION MANAGER REQUIRED
The Finance & Administration Manager is responsible to provide the organization with guidance on the submissions of sales audits and reports, to administer internal controls, and to ensure compliance with business benchmarks. The ideal incumbent will also be expected to examine and improve operating practices and to assist with financial and risk management processes of the organization.

Managing Effectiveness:
  • Compile and complete all relevant reports on a daily, weekly, and monthly basis
  • Provide administrative and clerical services
  • Provide world class customer service to all members and resolve telephonic queries
  • Ensure stock reports are completed by month end
  • Review member access logs daily
  • Manage a team of 2-3 administrators to achieve their KPI's
Operations:
  • Review and approve debit orders - 1st, 5th and 15th (back up)
  • Manage and update the debit order fail code reports on a weekly basis
  • Manage and update the debit order summary on a weekly basis
  • Review and manage new member fail report on a weekly basis
  • Compile membership data base reconciliations monthly
  • Review month to date and loaded sales report daily
  • Review successful first month members for final commission report
  • Assist with membership queries (escalated)
  • Conducting internal club audits
  • Training all staff with regards to system processes
  • Onboarding and offboarding all employees on the company's system
  • Troubleshoot and/or report system problems
  • Manage and submit Personal Trainer Debit order run & fail reporting
  • Manage all additional revenue reports
  • Review and resolve pending payments report monthly
Administration:
  • Liaise with the Centralized Administrator and Financial Administrator(s) on all administrative procedures, checks and balances​ at the company
  • Maintaining accurate records, processing any membership changes
  • Membership administration, ensuring accurate record keeping & database administration
  • Handling membership queries that originate within the club
  • Responsible for various daily, weekly, and monthly reports.
  • Attending to ad hoc administrative duties
  • Managing system access intelligence and strategy to drive usage
Queries:
  • To ensure all queries are dealt with and feedback has been given to members or employees at the company
  • All queries should be resolved in 48 hours
Key competencies required for the role:
  1. Extensive knowledge of direct debits
  2. Strong administrative skills
  3. Excellent command of MS Excel & Word
  4. Strong information reporting skills
  5. Excellent communication and interpersonal skills
  6. Managerial experience
  7. 3-5 years experience in a same or similar role
Qualifications required for the role:
  1. Matric
  2. Business Management/Business Administration (or similar) qualification
