JOB SUMMARY:
Financial Systems Specialist

JOB DESCRIPTION:


A diversified financial services organisation which provides a broad range of retirement, consulting (including healthcare), asset management, insurance and wealth management to both corporate and individual clients is seeking a Financial Systems Analyst.

Role Purpose:

· Group Finance’s lead for the implementation and administration of the group’s financial systems and other systems owned by Group Finance

· Responsible for gathering and analysing business process requirements for Finance and configuring into systems to efficiently meet those requirements

· Plans for finance related system projects and business process improvements

· Works with software systems project teams and directs project activities of Finance staff and assists with coordination under the direction of subject matter experts

· Administers user security and configures the software systems owned by Finance

· Works collaboratively to support and integrate system requirements across business functions to ensure effective functioning of Finance systems

· Serve as the Finance liaison with Group IT, vendor resources and other group staff that utilise financial systems

· Ensure efficient maintenance and operation of financial systems; provide optimum functionality and ensure data integrity and security

· Work to provide useful system outputs, reports, data analysis and identify process improvement opportunities and implement

· Support financial decision making by auditing, analysing, interpreting information and reports from finance systems and making recommendations t

· Provide reports to the Group Head of Finance with regards to internal controls within finance systems and ensure that these are aligned to internal control frameworks

· Lead the development of test case scenarios and ensure user acceptance testing outcomes are aligned to intended outcome

· Work to provide documentation and training for users of Finance systems


Key Performance Areas:


System administration

  • Group Finance’s lead for the implementation and administration of the group’s financial systems and other systems owned by Group Finance

  • Plans for finance related system projects and business process improvements
  • Works with software systems project teams and directs project activities of Finance staff and assists with coordination under the direction of subject matter experts
  • Administers user security and configures the software systems owned by Finance
  • Works collaboratively to carry out complex work to manage, support and integrate system requirements across business functions to ensure effective functioning of Finance systems
  • Serve as the Finance liaison with Group IT, vendor resources and other group staff that utilise financial systems
  • Ensure efficient maintenance and operation of financial systems; provide optimum functionality and ensure data integrity and security
  • Review workflow in finance systems to ensure that transactions are appropriately dealt with across the value chain
  • Provide reports to respective business area managers to ensure that requirements within systems are fulfilled
  • Work to provide useful system outputs, reports, data analysis and identify process improvement opportunities and implement
  • Support financial decision making by auditing, analysing, interpreting information and reports from finance systems and making recommendations to key stakeholders in Finance
  • Provide reports to the Group Head of Finance with regards to internal controls within finance systems and ensure that these are aligned to internal control frameworks of the Group

Training and maintenance of SOPs and Process Documentation

  • Lead the efforts and process to gather and create SOP requirements or process improvements.
  • Act as the supportive source of knowledge for all SOPs and internal policy documents for Finance systems.
  • Lead the analysis and recommendations for SOP effectiveness.
  • Drive the day to day activities to ensure the accuracy, governance, and maintenance of SOPs.
  • Lead the escalation/communication of risks and issues as appropriate.
  • Manage all aspects of the SOP document control and ensure alignment to systems and processes.
  • Support the communication and training of SOPs to operational teams.
  • Assist Subject Matter Experts (SMEs) to document processes, develop flowcharts, and draft SOPs.
  • Review, suggest, revise, consult, and re-write existing SOPs.
  • Develop checklists, communication templates and desktop guides to augment SOPs.
  • Track all SOPs from creation to implementation including sending reminders for SOPs about to requiring review or about to expire.
  • Develop, improve, maintain and revise Standard Operating Procedures and/or training materials for existing and new Finance systems.
  • Respond to co-workers, superiors, and clients in a cooperative and constructive and timely manner; providing support to other department personnel by responding to requests for information and assistance; promoting an awareness and positive image of the department; facilitating a respectful, friendly atmosphere in the workplace.
  • Apply established procedures and guidelines to the keeping of records and the preparation of standardized reports.

    • written instructions, policies, and procedures.
    • Work as a member of a team or independently to accomplish duties and responsibilities.
    • Plan and execute system related training to relevant stakeholders; also ensure that users are updated on system changes and are retrained where applicable.


    Education:

    · University degree in Accounting, Finance, Business Administration or Informatics

    · Post graduate information technology qualification would be beneficial

    Experience:

    · 5 years and above as financial system analyst or manager

    · Exposure to managing multiple systems within finance, e.g. treasury management system, procure to pay system, etc.

    · Exposure to a high pressurized, complex environment in a matrix group structure

    · Strong IT literacy with good MS Excel, MS Word, MS Power point skills, Power BI, VBA and SQL scripting and a solid understanding of accounting software principles and user administration skills.

    · Sound judgment, demonstrating logical decision-making capabilities.

    · Thorough technical knowledge of accounting principles, internal controls and IFRS

    · Systems integration expertise with exposure to big data and advanced data analytics

    · Financial expertise and compliance through strong and robust financial processes that minimize risk and drive value creation.

    · Exposure in providing training to financial system users and other stakeholders

    · Excellent verbal and written communication skills to ensure standard operating procedures, training materials and other required reports are maintained at the highest levels

    · Proven team player with ability to coach and energise others

    · Strong interpersonal skills to support senior decision-makers from different parts of the business whilst providing strong financial and internal control support where necessary
