POSITION INFO:
Qualifications

• Matric
• Diploma/Degree in Logistics, Supply Chain, or relevant field will be advantageous.

• 5+ years of experience in dispatch/logistics management.
• Experience in managing outsourced logistics providers.
• Experience in implementing and monitoring SLAs and KPIs.
• Experience in managing warehouse operations.
• Minimum of 5 years of experience in warehouse management or a related field.
• Proficiency in warehouse management software, Excel and logistics software tools.
• Knowledge of logistics, route planning and dispatch operations.
• Ability to analyze data and make informed decisions.
• Ability to manage external vendors and enforce contractual obligations

• Dispatch Operations:
• Ensure Customers receive their orders on time and in full, as committed. (OTD).
• Oversee daily dispatch operations, ensuring all outgoing goods are checked, labelled, and documented correctly (e.g., unit weight, package weight, bag quantity and bag numbering).
• Maintain clear demarcation and color-coded zones in the dispatch area. Train staff on storage protocols for easy accessibility and prevent cross-contamination.
• Ensure customer-specific labelling (e.g., ABECO) is followed meticulously.
• Ensure customer inspection zone holds only accurately documented and approved goods.
• Confirm all goods for dispatch are checked against documentation before being accepted from the warehouse. Records of personnel that checked the goods must be clearly recorded. (Name, Surname, Signature and date)
• All goods received from the Dispatch staging are must be pre-checked before acceptance into the dispatch area. Documents must be clearly recorded as “CHECKED” or “PARTIAL” along with the Sales order number and the customer delivery date.
• Any incorrect goods, short quantities or any inaccuracies of an order in the dispatch staging area must be immediately reported to the Group Inventory Manager for prompt handling.
• Logistics & Transport Coordination
• Plan and optimize routes to ensure on-time delivery (OTD) performance is adhered to.
• Source and evaluate logistics service providers for cost-effectiveness and performance.
• Negotiate contracts and monitor adherence to service level agreements.
• Ensure diesel tank levels are monitored and refuelled timeously.
• Schedule daily diesel fill-ups for trucks.
• Schedule prompt collections where required.
• Ensure vehicles are always clean and tidy.
• Manage drivers: All route deviations or unplanned stops must be reported immediately.
• Vehicle Proxy Responsibilities
• Act as the designated proxy for all company vehicles, ensuring compliance with legal, licensing, roadworthiness, and insurance requirements.
• Maintain up-to-date records for all vehicles including licenses, servicing, and inspections.
• Coordinate maintenance schedules and vehicle downtime to minimize operational impact.
• Serve as point of contact with traffic departments, insurance providers, and service centres.
• Staff Management:
• Motivate and lead drivers and dispatch checkers to manage increased volumes and improve productivity.
• Instruct and train employees on logistics SOPs, policies, work instructions (WI), and procedures.
• Conduct Planned Job Observations (PJOs) for new employees, departmental transfers, and annual assessments.
• Ensure notice boards are updated and employees are informed of relevant operational updates.
• Performance manage employees.
• Foster a positive work environment and promote teamwork.
• Safety and Compliance:
• Maintain a safe working environment by ensuring compliance with health and safety regulations. Implement and enforce safety policies and procedures.
• Quality Control:
• Ensure all goods received into dispatch and transported to customers meet internal quality standards. Address any discrepancies or quality issues to the Supply Chain Manager, promptly.
• Process Improvement:
• Identify areas for process improvement within the Dispatch and Logistics operations. Implement changes to increase efficiency and reduce costs.
• Monitoring, Reporting & Compliance. Monitor and report on:
• On-Time Delivery (OTD), Wrong delivery, Late deliveries
• Dispatch Ageing
• Driver behaviour and driving patterns
• Fuel consumption and diesel usage
• Outsourced transport service providers (costs, SLAs, deviations)
• Ensure compliance with all logistics legal requirements.
• Prepare and present regular reports on Dispatch and Logistics operations, including key performance indicators (KPIs) and Dispatch status.
• Equipment Management:
• Oversee the maintenance and proper use of dispatch equipment including vehicles and assets. Ensure it is in good working condition and schedule repairs, service, licensing or replacements as needed.
