POSITION INFO:
Human Resources (HR) Manager Direct Reports: HR Intern\/Administrator, Payroll Administrator, Payroll Data Capture Job Summary: To lead and manage all human resources functions, ensuring alignment with company goals and compliance with South African labour legislation. The HR Manager develops and implements HR strategies, policies, and procedures to attract, develop, and retain a high-performing workforce while fostering a positive organizational culture. Key Responsibilities: HR Processes Recruitment process • Prepare internal advertising of all available approved positions. • Collate all CV's and prepare for presentation to recruiting manager, CFO and Interview panel. • Co-ordinate appointments for interviews with applicants and Interview panel. • Co-ordinate the booking and preparation of interview room. • Co-ordinate appointments for interviews with shortlist candidates and Interview panel. • Prepare external advertising of all approved position. • Follow the same process as for internal positions. • Co-ordinate credit and reference checks on successful candidate. • Prepare a dummy payslip - CFO approval required. • Prepare a Letter of offer to the successful candidate - CFO to approve. New Employee administration • Notification email to new employee documents to be submitted on 1st day of employment. • Collate starter pack with the latest information and documents. • Starter pack to be given to new employee on 1st day of employment. • Ensure that all the necessary documents are submitted to add employee on the payroll system. • Welcome and introduction to Management and all staff. • Introduction email to be circulated. • Schedule new employee on the next Induction program. • Ensure that a Personnel file is created for all new employees. • Check that all audit required documentation is available on the Personnel file. Industrial Relations & Grievance procedures • Prepare all related documentation (Letter of warnings, Grievance letters, etc.) • Preparation for all disciplinary hearings ensuing fair procedure is followed. • Chairing of Disciplinary Hearings. •Act as HR Representative\/Observer during disciplinary hearings. •Ensure that minutes of disciplinary hearings are correctly done. •Preparation of documents for CCMA cases when required. •Attending CCMA. Exit process (Resignations\/Terminations) • Ensure that the required resignation letter has been received from Manager\/Head of Department. • Notify Discovery Medical Aid provider immediately of planned resignation in order to remove employee from the billing statement. • Supply\/assist the employee with the Provident Fund withdrawal notification forms for completion. • Forward withdrawal notifications to the funds, follow-up and notify employee once payment has been made. • Ensure that an exit interview is done on the last working day of the month, handle all arrangements with particular employee in this regard. • Ensure that a Leaver Checklist has been completed and all actions been done on the list. •Prepare a quarterly Exit Interview feedback report to Management. Compensation and Benefit administration • Ensure that all the necessary documentation is completed and submitted to Discovery i.t.o. new employees and leavers. • Submit any changes as requested by the members to dedicated Medical aid consultants. • Ensure that annual changes to medical aid plan options have been submitted to Medical aid by given deadline. • Process and submit all Provident Fund, Death & Disability claims as and when required. Leave administration • Co-ordinate that all necessary leave forms are received from employees and Management\/Heads of Departments. • Ensure that all leave applications comply with BCEA & Leave Policy • Ensure that available leave balances are adhered to at all times. • Check that all leave are captured correctly on the payroll system. • Manage all queries in regards to leave from employees and Management\/Heads of Departments. Performance Management and Training • Implement and monitor performance appraisal systems. • Identify training needs and oversee learning and development program • Support Career pathing and leadership development. • Managing Learnership and internships with SDC and Neasa SA Laws and Compliance • Ensure all the SA labour relations and Company policies and procedures are followed. • Preparation and submission of DOL inspections • Ensure and assist Payroll Administrators to prepare for yearly financial audits • Monthly submissions of UIF Declarations and EMP201 • Quarterly submission of STATS SA • Annual statutory submission of Employment Equity, EMP501's and ROE\/COIDA Other HR Administrative processes • Organise the company employee communication, employee welfare, wellness (e.g. screening tests annually) and other employee services. • Ensure correctness of employee files and all day-to-day efficient operations of the HR Office. • Updating the HR Folder with all the latest HR documentation and forms. • Update and maintain the company organograms with all new employees, leavers and changes. • Assist with information when requested for the completion of BEE audits and Skills Development compliance. • Handle employee, management and 3rd party enquiries related to HR processes with a high degree of customer service and confidentiality. Ensure that information provided is 100% accurate at all times. • Organise the company employee communication, employee welfare, wellness (e.g. screening tests annually) and other employee services. Payroll Administration • Communicate payroll input closing date to all staff and remind weekly. • Collate and prepare all payroll input documentation • Co-ordinate and check Leave applications and data on payroll • Personal details changes (Changes in address details, surnames, marital status, etc.) • Co-ordinate and check correctness of Overtime sheets • Fuel Allowances • New employee details • Terminated employee details • Maternity leave employees (Do provision calculations and update changes, ensure that correct payments are made to 3rd parties) • Changes\/additions to Medical Aid • Changes\/additions to Provident Fund & Unapproved Risk • Garnishees • Loans & Advances • ITA88's Payroll Processing • Fully responsible for all data capturing of basic payroll input data on the payroll system. • Basic checking of payroll input data captured against check reports available. • Assist the HR & Payroll Manager with any other capturing of payroll input data as required. • Assist the HR & Payroll Manager with the final checking process of the payroll. • Load all information for the electronic payslip (Info slip) distribution. • Ensure that all payslips to all non-info slip employees are printed and distributed using recording lists to confirm receipt of payslips. Payroll Month-end reporting • Ensure cost report is submitted to finance monthly • Responsible for other deduction reconciliation • Accept Garnishee orders as delivered by the Sheriff of the Court after employment with the company has been confirmed. Obtain regular outstanding balances from attorneys on Garnishee orders to ensure full balance is recovered where applicable. Provide Payment statements to Attorneys. • Handle employee, management and 3rd party enquiries related to the Payroll processes with a high degree of customer service and confidentiality. Ensure that information provided is 100% accurate at all times. • Ensure that all their required duties are managed and adhered to. • Identify training their needs in order to improve knowledge and growth of staff. • Manage annual Leave, sick leave, study leave, family responsibility leave and ensuring that the necessary leave application is received from the staff member and that the HR & Payroll department receives the same, ensuring that there is no short-fall in performing their required duties. Always ensure that all functions are compliant to statutory, legislative requirements locally and globally. Assist in the general operation of the office and ensure that all Internal control & LEAN procedures are strictly adhered to at all times. Salary - R500 000 - R750 000pa CTC Send cv to
