POSITION INFO:
Key Responsibilities Ensure the implementation and compliance of Human Capital policies, procedures, and practices in accordance with Botswana labour legislation and organisational requirements. Maintain and manage all Human Capital governance documentation and records. Ensure employee records are accurate, secure, and maintained in accordance with data protection and record management requirements. Coordinate Human Capital initiatives and projects aligned to the organisation's Human Capital Strategy. Provide advice and guidance to management on Human Capital matters. Coordinate and manage end-to-end recruitment processes. Ensure recruitment activities comply with organisational standards and employment legislation. Process manpower requisitions, appointments, transfers, promotions, and employee movement documentation. Facilitate onboarding and induction programmes for all new employees. Ensure employee information is accurately captured onto HR and payroll systems. Monitor and administer probationary reviews and confirmations of employment. Support workforce planning and talent acquisition initiatives. Coordinate training and development interventions in line with organisational requirements. Facilitate Training Needs Analyses (TNA). Maintain employee training records and development plans. Monitor training attendance and effectiveness. Compile training reports and statistics. Promote continuous learning and skills development initiatives. Provide support and guidance on disciplinary, grievance, incapacity, absenteeism, and conflict-resolution matters. Ensure consistent application of company policies, procedures, and codes of conduct. Assist with investigations and preparation of disciplinary documentation. Draft charge sheets, notices and employee correspondence related to employee relations matters. Coordinate disciplinary hearings and ensure procedural compliance. Build constructive relationships with employee representatives and trade unions. Escalate employee relations risks and recommend corrective interventions. Maintain accurate and confidential employee relations records. Ensure fair, transparent, and legally compliant management of employee relations matters. Coordinate and monitor performance management processes across the organisation. Support managers in conducting performance reviews and employee development discussions. Track completion of performance assessments. Compile performance management reports and recommendations. Compile monthly Human Capital reports and dashboards. Maintain and update vacancy reports and organisational structures. Monitor workforce trends including turnover, absenteeism, disciplinary cases, and recruitment statistics. Analyse workforce data and provide recommendations for continuous improvement. Ensure accuracy and timely submission of all Human Capital reports. Coordinate and manage employee separation processes. Conduct exit interviews and provide trend analysis. Process employee terminations and offboarding requirements within HR systems. Ensure all payroll and termination documentation is submitted accurately and on time. Prepare Certificates of Service and other relevant separation documents. Ensure compliance with legislative requirements relating to employee terminations. Support the implementation and maintenance of occupational health and safety programmes. Coordinate Health and Safety Committee meetings in accordance with organisational requirements. Maintain records of Safety Representatives, First Aiders, and Fire Marshals. Ensure mandatory health and safety training is conducted and documented. Conduct workplace inspections, audits, and risk assessments. Monitor the implementation of corrective and preventative actions. Maintain health and safety policies, procedures, registers, and documentation. Coordinate occupational medical surveillance programmes where required. Investigate incidents, accidents, near misses, and unsafe conditions and recommend corrective actions. Monitor contractor compliance with health and safety requirements. Coordinate emergency preparedness activities, including fire drills and evacuation exercises. Assist in identifying, assessing, and mitigating operational risks. Maintain risk registers and corrective action plans. Conduct routine risk assessments and monitor risk control effectiveness. Support internal and external audits. Promote risk awareness throughout the organisation. Ensure relevant risk management records are maintained and updated. Compile and submit health and safety reports, incident and accident reports, lost time injury reports, audit findings and corrective action reports, risk management reports, safety performance reports and dashboards. Ensure all reporting requirements are completed accurately and within required timeframes. Ensure compliance with applicable Botswana legislation and regulations including Employment Act, Workers' Compensation Act, Trade Disputes Act, Trade Unions and Employers' Organisations Act, Factories Act, Data Protection Act, and other relevant regulations. Promote a proactive health and safety culture throughout the organisation. Conduct toolbox talks, awareness campaigns, and safety briefings. Encourage reporting of workplace hazards, incidents, and near misses. Support employee wellness and wellbeing programmes. Participate in safety awareness initiatives and continuous improvement projects. Liaise with security personnel and service providers regarding workplace safety protocols. Ensure security personnel understand emergency procedures, reporting requirements, and incident escalation processes. Support emergency response planning and implementation. Support continuous improvement initiatives across the organisation. Participate in organisational projects as required. Maintain Human Capital, Risk, and Health & Safety dashboards and reporting systems. Provide professional support to management on Human Capital and Risk-related matters. Promote organisational values, ethical conduct, and good corporate governance. Perform any other duties reasonably assigned by management within the scope of the role.
