SUMMARY:
The role is responsible for providing operational support to the Head of Human Resources and the Diversity & Inclusion Committee (DICE) to advance the inclusion & diversity (I&D) initiatives and activities of the firm.

POSITION INFO:

Purpose

The inclusion and diversity activities of the firm include gender and racial inclusion, mental wellness, disability confidence and LGBTQ+. While there is some administration within this role, it requires functional expertise in the field of inclusion and diversity in order to make a substantive contribution.

Key Performance Areas

· Project work with the Head of HR to give effect to the D&I strategy of the firm:

o Ensure that the purpose and intent of the global I&D policy is reflected in all we do

o Support the Head of HR on projects within the global D&I domain

o Raise the profile of mental wellness (depression, anxiety, eating disorders, substance abuse and psychosis) within the firm with a view to destigmatising mental health through education and understanding

o Responsible for periodic review of policies pertaining to I&D or that affect I&D

o Provide input into the planning, implementation and communication of I&D initiatives at a global and local level (eg International Women’s Day, IDAHOBIT, PRIDE, annual Global I&D month, annual SAWEI submission

o Provide support to the PRIDE committee to plan and implement events and activities

· DICE Committee

o Provide substantive input to support DICE in achieving its mandate in terms of the DICE constitution and the Supervisory Board and Management Committee (MCom) strategic objectives

o Give input into and project manage the implementation of the Supervisory Board and MCom strategic objectives and the Employment Equity Plan

o Provide secretarial support to DICE

§ For example arrange meetings (every 6 – 8 weeks), prepare and circulate minutes, following up to ensure that action items are completed, coordinating nomination and election of new members etc

§ Coordinate, keep minutes and consolidate the employee consultation process for the Employment Equity Plan

o Prepare a draft of the Employment Equity Plan for review by DICE and once approved, prepare the EEA12 form

· Employment Equity - Statutory compliance

o Maintain electronic and hard copy records relevant to I&D to ensure compliance with Department of Labour requirements (eg Employment Equity Reports and Plan, DICE appointment letters, meeting attendance registers, minutes etc)

o Responsible for the coordinating the preparation of the Employment Equity Report (EEA2 & EEA4) to be approved by the Head of HR and signed off by the CEO

o Responsible for the submission of the Employment Equity Report (EEA2 & EEA4) on the Department of Labour website

· Reporting

o Responsible for preparing the quarterly D&I report for circulation to the Diversity & Inclusion Committee (DICE), Supervisory Board (SB) and MCom

o Prepare quarterly reports for DICE and MCom on the progress towards achieving the Employment Equity Plan

o Provide quarterly reports for MCom showing the racial and gender demographics per occupational level in the firm in comparison to the economically active population (national)

· BBBEE

o Attend the BBBEE committee meetings as a HR representative

o Responsible for ensuring that the employee data on the SAGE BEE 123 system is updated monthly by the HR administrator

o Responsible for ensuring that the HR Administrator undertakes a quarterly audit of the data on the system to ensure that it is accurate and complete

o Responsible for preparing the employee data sheet for the annual BBBEE verification process

o Responsible for coordinating and collating the submission of documentation for both the employee and skills development sample selected for verification

Job Requirements

Skills and experience

· Minimum qualification NQF7 (degree in business management will be preferred)

· Minimum of 7 years working experience with at least 2 years in an inclusion and diversity advisory role

· Deep knowledge and understanding of the Employment Equity Act and BBBEE as it pertains to inclusion & diversity (knowledge of the BBBEE skills development scorecard component is not required)

· Good judgement and discretion

· Curious with a learning and growth mind set

· Pro-active, can-do attitude

· Able to work independently with limited supervision

· Ability to manage expectations - plan delivery of own tasks and understand impact of actions on others

· Exceptional written and verbal communication skills

· Well organised

· Resilient – able to work well under pressure and take responsibility

· MS packages: Above average proficiency in Word, Excel & PowerPoint. Knowledge of MS Teams will be an advantage

· Proficient project manager and coordinator

Physical demands of the job

· Vision: Sight is an inherent requirement of the job. All work is undertaken using a computer and review of information on paper.

· Verbal: Must be able to speak clearly and audibly. Most communication for this role is undertaken through verbal engagement in person, telephonically and via on-line meetings.

· Hearing: Hearing is an inherent requirement of the job; may be facilitated with hearing aids, take into account that the incumbent will sit in an open plan environment and must be able to hear audio via telephone and on-line meetings.

· Physical and mobility: The incumbent must have adequate mobility to be functionally independent. Mobility can be facilitated with aids. Must be able to sit for prolonged periods of time and move around the office and various floors that the firm occupies.

· Psychological: Incumbent needs to be resilient, accept responsibility and constructive feedback; must be able to identify triggers and risks to psychological wellness and be transparent when they feel they are at risk so that we can provide appropriate preventative support or recovery support.
