Role Objective
The HR Operations Officer is responsible for managing and executing the operational delivery of the People & Culture function. This role ensures consistent, compliant, and efficient People data, systems and processes across the employee lifecycle, with a strong focus on operational excellence, regulatory compliance, and reporting.
The incumbent will oversee core HR operations including HRIS management, employee administration, reporting, compliance submissions, and process optimisation ensuring that HR operations are practical, innovative, optimized, compliant, and effectively executed.
The ideal candidate for this role is an HR professional who genuinely enjoys the operational side of People & Culture and understands how strong processes, data, and systems directly shape the employee and internal user experience. They are naturally curious about how things work and are passionate about bringing data, reporting, systems, and processes together in a way that is practical, efficient, and well-aligned.
They are equally energised by working within a regulatory environment – understanding legislation, interpreting requirements, managing compliance, and balancing risk with practical business needs.
This individual is a proactive self-starter who is comfortable managing multiple stakeholders and thrives in a collaborative environment, working across the business to ensure that People operations run smoothly, consistently, and effectively.
Key Responsibilities:
HR Operations Delivery & Administration
- Oversee and ensure end-to-end execution of core People operations processes (onboarding, offboarding, promotions, transfers, exits, leave, probation, employee lifecycle administration and benefits administration).
- Manage employment documentation including contracts, addendums, confirmations, and employee records.
- Ensure timely and accurate processing of all HR administrative tasks and employee changes.
- Maintain structured and efficient operational workflows across the People function.
- Support the implementation and consistent execution of People policies, benefits and procedures.
Compliance, Regulatory Reporting & Governance
- Own and manage all HR regulatory reporting requirements, including but not limited to:
- FASSET submissions and related reporting
- Employment Equity reporting and coordination (EEA submissions, EE Committee support, reporting packs)
- Supporting B-BBEE People-related reporting requirements where applicable
- Ensure compliance with South African labour legislation (BCEA, LRA, EE Act) and internal governance standards.
- Maintain audit-ready People documentation and ensure proper record-keeping practices.
- Coordinate internal and external audits relating to People processes and data.
- Monitor legislative changes and ensure policies and processes remain compliant.
Reporting & People Analytics
- Prepare and manage regular People reports including headcount, turnover, leave, recruitment, and workforce trends.
- Compile data and reporting packs for Head of People as needed
- Ensure data integrity across People systems and reports.
- Translate operational data into basic insights to support decision-making and reporting requirements.
HR Systems & Process Optimisation
- Act as a key user of HR systems (e.g., Deel PaySpace, Sharepoint Lists, power automations), ensuring accurate data capture and effective utilisation.
- Support system improvements, enhancements, and issue resolution from an operational perspective.
- Identify and implement opportunities to improve, standardise, and streamline HR processes.
- Maintain and update SOPs, templates, and operational documentation.
Document Management & Information Governance
- Oversee the storage, maintenance, and lifecycle management of all employee documentation, including benefits administration.
- Ensure compliance with POPIA and internal data governance standards.
- Maintain accurate, organised, and accessible employee records.
- Ensure version control across policies, templates, and People documentation.
Stakeholder Support & Collaboration
- Provide operational support and guidance to HRBPs, managers, and employees on People processes.
- Act as a central point for resolving HR operational queries and issues.
- Collaborate closely with Payroll, Finance, Recruitment, and Compliance teams to ensure seamless operations.
- Support broader People & Culture initiatives from an operational and execution perspective.
- Support benefits and payroll service provider relationships, arrange employee wellness days etc.
Technical Competencies
- Strong understanding of HR operations and employee lifecycle processes.
- Solid knowledge of South African labour legislation and HR compliance requirements.
- Experience preparing regulatory reports (FASSET, EE, or equivalent).
- Proficiency in Excel, PowerBI, PowerAutomate, Sharepoint and HR reporting.
- Working knowledge of HR systems (HRIS/payroll systems), technical configuration expertise or experience preferred.
- Demonstrated ability to use GenAI tools (e.g. Copilot) for prompt engineering, task automation, and document creation, driving efficiency, improving workflows, and enabling quick, practical solutions.

Qualifications & Experience:
Education
- Bachelor’s degree in Human Resources or related field.
- Additional certifications in Labour Relations, SaaS management, are advantageous.
Experience
- Minimum 4 years’ experience in HR operations or generalist HR roles.
- Proven experience in HR administration, reporting, and compliance.
- Direct experience with FASSET, Employment Equity, or similar statutory reporting is highly preferred.
- Experience in an Auditing consulting environment with trainees is preferred.
- Experience working in structured, compliance-driven, consulting, environments (e.g., professional services) is advantageous.
- Exposure to HR systems and reporting tools e.g. PaySpace, Deel, Power Automate, Power BI etc.
