JOB SUMMARY:
JUNIOR FACILITIES MANAGER - AA MIDRAND

JOB DESCRIPTION:

Create, manage and maintain a smooth running, safe, well kept and efficient office environment to allow staff and visitors to enjoy a facility of world class standards

Duties and Responsibilities:

  • Oversee building maintenance: Source quotations for repairs and spares required. Purchases of equipment and spares as well as all related administration and correspondence
  • Ensure that an up to date equipment maintenance schedule is kept with planned maintenance dates
  • Ensure that an approved supplier file is kept and maintained and complete regular price comparisons
  • In conjunction with the Finance Department, ensure that an accurate and up to date asset register is kept and maintained
  • Project manage: building alterations / larger maintenance projects / all office moves etc. (From quotation and budget stage to final handover)
  • Manage a smooth running world class reception
  • Manage the cleaning team: Calculate and capture all overtime and leave and conduct all performance management assessments
  • Purchase of all hygiene and cleaning products and company refreshments
  • Responsible for company stationery purchases
  • Ensure Service provider of the company is complying with all Health and Safety regulations as well as service level agreement
  • Fulfil duties as the company’s Health & Safety Officer and oversee all related responsibilities
  • Represent the company at the Park Owners Association and also liaise with park management in terms of security, landscaping and general maintenance issues
  • Coffee shop support: Includes weekly hygiene inspections, routine menu discussions / requirements, communications from coffee shop to staff, ensuring that all equipment, fixtures and fittings of the coffee shop are maintained and in working order
  • Making sure that the inside of the building is arranged to make the best use of space
  • Oversee equipment rental contracts
  • Prepare & maintain annual budget for building use and facility maintenance
  • Negotiating the best deals with outside contractors and suppliers
  • Maintain usage records and statistics i.e. electricity consumption, hygiene and cleaning products
  • Manage the mail room
  • Maintaining the ERS Biometrics System: ensure the system is working at optimal level, all information entered onto the system is to be accurate and updated timeously
  • Perform Related duties as assigned by supervisor/manager
  • Maintain compliance with all company policies and procedures as well as relevant legislation


Key requirements:

  • Tertiary qualification in Facilities Management advantageous
  • Matric
  • At least 3-5 years experience within a similar position
  • Previous Project Management Experience advantageous
  • Previous experience in staff management or supervisor role minimum of 10 employees
  • Previous experience with Biometrics Access Control
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook)
