Office Manager \/ Personal Assistant Location: Sandton, Johannesburg Industry: Legal \/ Law Firm A reputable law firm based in Sandton is seeking an experienced and highly organised Office Manager \/ Personal Assistant to provide comprehensive administrative, operational and personal support to the attorneys and management team. The successful candidate will be responsible for ensuring the smooth day-to-day running of the office, managing administrative functions, coordinating schedules and providing professional support in a fast-paced legal environment. Key Responsibilities Office Management Oversee the day-to-day administration and smooth running of the law firm’s office. Manage office supplies, stationery, equipment and general office requirements. Coordinate maintenance, service providers and office-related matters. Assist with office policies, procedures and administrative processes. Manage incoming and outgoing correspondence, emails and telephone calls. Coordinate meetings, appointments and office events. Maintain an organised and professional office environment. Liaise with clients, service providers and external stakeholders in a professional manner. Personal Assistant Duties Provide high-level administrative and personal assistance to attorneys and management. Manage complex diaries, appointments and meeting schedules. Arrange meetings, travel, accommodation and other logistical requirements. Prepare agendas, meeting packs, minutes and follow-up actions where required. Handle confidential correspondence and sensitive information with discretion. Assist with preparation of presentations, reports and other documents. Monitor deadlines and ensure that important tasks and appointments are followed up. Coordinate communication between management, staff, clients and external stakeholders. Legal \/ Law Firm Administration Assist attorneys with general administrative and legal support where required. Maintain electronic and physical filing systems. Assist with the opening, maintenance and closing of client files. Ensure documents and correspondence are accurately recorded and stored. Assist with billing, invoices, payments and general administrative financial processes where required. Liaise with courts, counsel, clients, service providers and other legal professionals as needed. Ensure strict confidentiality of client and firm information. Requirements Matric \/ Grade 12. Relevant qualification in Office Administration, Business Administration, Secretarial Studies or a related field is advantageous. Minimum 3–5 years’ experience in an Office Manager, Personal Assistant, Executive Assistant or similar role.
