JOB DESCRIPTION:

Short Summary:

The primary responsibility of this position is to ensure that efficient and effective planning is implemented throughout the Logistic Department to drive customer service excellence cost-effectively.

Responsibilities:
  • National Logistic Planning
    • Managing the Company fleet and outside Contractors.
    • Identify transporter organizations, negotiate contracts and rates, and approve third party deliveries.
    • Develop daily distribution schedules to ensure effective customer service and utilization of transport resources.
    • Optimize the scheduling of the fleet leading to an improved vehicle and route utilization.
    • Continuous execution, monitoring and exercising of corrective controls through dynamic re-planning and exceptions management.
    • Monitoring transportation capacity and ensuring short and long-term constraints and limitations are flagged and addressed.
    • Transport allocation to internal and external transporters to ensure effective usage of resources, customer service and cost containment.
    • Ensuring customer expectations are communicated to the Operational department.
    • Review loading schedule provided from Operations and recommend changes to drive customer service.
    • Take responsibility for sufficient utilization of the Company's vehicle fleet to ensure profitability.
    • Manage the handling of seed transportation to ensure its effective and efficient delivery.
    • Manage logistical planning functions for key account customers.
  • Continuous Training
    • Ensure Logistic Procedure is up to date and relevant, and approved by the Commercial Director.
    • Ensure all staff is trained and understands the Logistic procedure as well as all relevant procedures.
  • Customer Service
    • Ensure customers receive the correct stock ordered at the agreed time.
    • The customer strike rate is reported on a daily, weekly, and monthly basis.
    • Full ownership of implementing actions to continuously ensure strike rate requirements are met.
  • Export Management
    • Responsible to receive forwarding quotations for Commercial Director approval.
    • Handle all communication interactions between SOILL and the forwarding company.
    • Ensure all necessary documentation is provided to Sales, Customer, Finance and Operations.
  • Import Management
    • Handle full communication between the forwarding company and all relevant departments.
    • Ensure slot bookings are in place for the collection and delivery of imported products.
    • Ensure all necessary documentation is provided to Sales, Customer, Finance and Operations.
  • Communication
    • Actively supervise daily delivery schedules and progress, and implement rectification actions to drive operational efficiency and customer service levels.
    • Report any deviations every week to the Commercial Director along with rectification actions to improve delivery routes.
    • Facilitate communication between Planning, Administration, Operations and Sales.
    • Implement any customer feedback requests to the Company.
  • Cost Management
    • Responsible to drive operational and logistic excellence within set parameters, providing daily, weekly, and monthly reporting along with continuous improvement.
    • Critically analyzing all spending and optimizing return on expenses.
  • Supplier Relationship Management
    • Optimizing supplier relationships to ensure an open and honest relationship is maintained.
    • Setting up and managing contractual obligations with both parties.
    • Leveraging of opportunities identified with the supplier to increase efficiency and effectiveness.
  • Fleet Management
    • Ensure all trucks are roadworthy and in good condition for deliveries according to agreed internal parameters and customer expectations escalate.
    • Ensure weekly meetings with the Maintenance team.
    • Implement a good Fleet Management Plan.
  • Handling of Drivers
    • Ensure customers receive the correct stock ordered at the agreed time and per planning.
    • Ensure drivers are trained to drive different truck types.
    • Escalate Driver issues with deliveries to the Commercial Director.
  • Truck Allocation
    • Communicate planning to the Operational department daily.
    • Make decisions using third party transporters to achieve service delivery.
    • Facilitate all third-party transport communication.
  • Vehicle Tracking
    • Actively supervise daily delivery schedules and progress and implement rectification actions to drive operational efficiency and customer service levels.
    • Report any deviations every week to the Commercial Director along with rectification actions to improve delivery routes.
  • General Administration
    • Compiling an optimal distribution strategy, and the continuous tracking of strategy execution and adherence thereto.
    • Identifying improvements to business and scheduling rules to ensure optimal functioning of scheduling technology.
    • Execution, monitoring and exercising of corrective controls through dynamic re-planning and exception management.
    • Minimizing cost and enhancement of customer service through the optimized vehicle and route utilization.
    • Supervising, coaching and continuously training staff in the Logistics Department.
    • Complying and managing company procedures, Health and Safety legislation and FSSC procedures.
    • Ensure customers receive the correct stock ordered at the agreed time.
  • Strategic Administration
    • Reviewing the business logistical requirements long term and strategically analyzing requirements.
    • Creating a strategic plan for improving customer service and decreasing costs.
    • Building a sustainable business model that is practical and implementable in the environment.
    • Continuously reviewing strategy and presenting and updating as and when needed.
    • Presenting strategy and strategically interacting between departments to optimize efficiency and effectiveness of departments within the business.
    • Getting approval of strategy from Management and reporting on the strategy.
Key Competencies:

Education and Experience

  • A diploma in Logistics or Supply Chain Management
  • A degree in Logistics or Supply Chain Management will be an advantage
  • 2 years of experience managing or supervising in a similar role
  • 2 years' experience in Logistics or Operations will be an advantage
  • Familiar with and knowledge of FSSC2000
  • Excellent computer skills especially Excel and SAP
