OPERATIONS MANAGER

SUMMARY:
Job Role: The Operations Manager will be responsible to implement the right processes and practices across all delivery departments/divisions. This role will be accountable for delivery strategy, improving performance, finding ways to increase quality of delivery and implementing best practices

Quality Service           

• Improve operational management systems, processes and best practices
• Develop, implement, and maintain quality assurance measures
• Drive initiatives in the management team and organizationally that help boost long-term operational excellence
• Hold team accountable for timely and excellent delivery
• Ensure clients are given feedback timeously on business interactions
• Develop a solid working relationship with Team and stakeholders
• Review the competitor landscape
• Find ways to increase quality of delivery and customer service
• Build strong relationships by addressing customer issues and complaints in a timely manner

Finance

• Examine financial data and use them to improve cost effectiveness of operations
• Manage budgets and forecasts
• Ensure operational activities remain on time and within a defined budget
• Ensure all operations are implemented in a cost-effective way

Stakeholder Management

• Maintain constant communication with management, staff, and stakeholders to ensure proper operations of the departments
• Maintain constant communication with every employee to ensure smooth workflow within the departments

Administration & operational management

• Formulate strategic and operational objectives and implementation plans
• Maintain accurate and clear documentation for operational procedures and activities
• Provide monthly reports on performance of all staff members
• Ensure payroll uploads are completed accurately and according to the relevant deadlines
• Ensure the data on Placement Partner is accurate and up to date daily
• Ensure all data collected by the departments is in adherence to the requirements of the POPI Act

Staff/Team Management         

• Assist with recruitment, screening, hiring and orienting of operations staff
• Manage and direct operations team to achieve business targets.
• Hold staff accountable for operational excellence and job description through conducting regular performance review/feedback sessions
• Staff development and coaching

Job Requirements:

• Degree in Operations Management
• Previous experience working in an education/training and placement related environment
• Monitoring and evaluation background or qualification
• Must have a minimum of 10 – 12 years Operations Management experience preferably in a similar environment to ATS
• Person should have strong experience in the training and placement industry – including recruitment, learnerships, internships, bursaries, YES etc
• Experience implementing policy regulations and operational procedures that promote organizational efficiency and internal controls
• Extensive people management skills
• Strong written and verbal communication skills
• Excellent computer skills
• Strong operational skills and experience
• Must be detailed orientated with strong management skills
• Pursuit of quality and excellence in delivery
• Leadership skills
• Driver’s license
• Own car
