Responsibilities:

  • Assume overall responsibility for all Operation and Maintenance (O&M) contracts in the Region.
  • Implementation of the Scope of Work (SoW) for each O&M contract in accordance with the contractual requirements.
  • Implementation of Standard Operating Procedures (SOP's) aligned with the SOW for each O&M Contract.
  • Continued review and improvement of SoW and SOP's on all contract with support of Business Support division
  • Ensure that all O&M contracts as sufficiently staffed with adequately qualified and trained personnel
  • Ensure that O&M contracts are executed in accordance with the contractual requirements and the developed SOP's in order to avoid scope creep.
  • Risk management of all contracts in the region
  • Continuous review of contract performance contractual requirements and profitability.
  • Engagement with Business Support division for any operational improvement, TCO and chemical opportunities / improvements
  • Ensure that contract margin does not deteriorate through effective management of CPA and all input costs (fixed and variable) and suppliers
  • Establish and maintain a positive and informative relationship with all clients.
  • OHSACT 16.2 responsible for Operations in the region
  • Maintain and update divisional financial reports.
  • Manage site stock levels and do monthly stock reports
  • Maintain and sustain contact with existing customers.
  • Review monthly reports to customers and engage with customer on any deviations.
  • Continuously improve personal knowledge on all products using assistance of internal personnel or approved external sources.
  • Manage your expenses within budget, through clearing all proposed expenditure with the Divisional Manager.
  • Troubleshoot existing sites to resolve any technical difficulty experienced
  • Manager the schedule for the Service Specialist to ensure contractual compliance.
  • Monitor and manage O&M staff, external resources, sub-contractors, suppliers and site.
  • Manage and ensure effective internal and external resources to support O&M Contracts.
  • Work with Business Support as and when required to improve operational efficiencies
  • Monitor and manage the financial aspects of regional Operations including financial; update / forecasts and CAPEX requirements.
  • Authority limits apply as defined by your line manager.
  • Discuss, validate and approve quotations from suppliers & review and accept orders from customers in line with existing contracts
  • Sign valid delivery notes on behalf of company.
  • Coordinate and control the tasks / activities operational teams, associated with personnel performance, productivity, discipline and achieving Key Performance Indicators.
  • Monitoring attendance / conduct and appraise performance / output and addressing deviations from agreed performance indicators through meetings / counselling and / or other approved methods designed to improve and motivate personnel.
  • Establishing the adequacy and availability of personnel against agreed outcomes and motivating to the immediate superior if deficiencies need to be corrected.
  • Participating in the induction program and providing "on the job" training for new recruits and existing personnel to the department.
  • Addressing workplace conflict / conduct through the initiation and co-ordination of consultative processes and implementation of specific disciplinary procedures.
  • Defining skills gap and training needs and activities, procedural sequences aimed at developing and capacitating individuals.
  • Coordinate and control the operation and maintenance of all sites
  • To direct & develop the implementation of company standards and systems and develop a reliable operations database.
  • Ensure the application of contractual standards and regulations.
  • Assess the adequacy of procedures, systems and controls associated with vehicles, plant, equipment and material availability and utilisation
  • Evaluate current security and safety measures and correcting deviations from set procedure
  • Inspecting facilities and surroundings and arranging for defects and / or maintenance requirements to be attended to
  • Investigate accidents / incidents with a view to accurately describing / detailing sequences to facilitate reporting and upgrading of records
  • Participate in operational discussions / meetings and elaborating / presenting factual information to support the status of activities / progress / constraints / quality and cost dimensions associated with current maintenance programs or urgent works
  • Provide information to state departments (Manpower, DWS, Health etc.) on statistics, quality, availability, etc.
  • Assume overall financial responsibility for the operational / production costs of all regionally operated contracts, including the formulation of budgets and adhering to these budgets, also ensuring that all internal and external resources respect the budgets.
  • Approval of Purchase Order, Supplier Invoices, Expense Claims within Authorisation Limits.
  • Produce detailed minutes on all production / operational meetings held.
  • Keep all operational files in hard copy, alternatively on the data server in order and up to date at all times.
