POSITION INFO:
Our Client in the Northern Suburbs of Cape Town, Brackenfell, has a role available for an Operations Manager: Construction (Construction industry). This is a midlevel to senior role. It is compulsory to have working experience in the Construction industry (between 5 and 10 years).
- It is important to speak, read & write Afrikaans fluently (either first language or second language).
- This role is office based and does therefor not include a company car.
- No benefits offered, thus only PAYE & UIF is deducted from the monthly salary.
1. Project Management – management of the flow and coordination of project. Build a relationship with all team Members and Stake holders within and outside of the company to ensure smooth operations.
Tasks, not limited to –
- Management and Coordination of all new sites.
- Manage information to be saved on Cloud as well as hard copies and file management.
- All new sites to be printed and placed in a client specific file.
- Manage documentation on server.
- Health and Safety to be prompt and teams to be prompt on the new site to commence.
- Wayleaves and permits to be obtained
- Landlord letters to be distributed
- Material to be booked out from appointed service provider – teams to be arranged to collect materials.
- Prompting teams and providing the project scope to all parties.
- Prompt planning with CEO and Project/Site managers by means of meetings to concluded project start dates, durations, team, and Fleet allocations as well as mitigate risks factors.
- Project plan to be put in place and communicated accordingly.
- Provide feedback and reporting to the clients as well as serve as the Point of Contact.
- Prompting, planning, and ordering of tar for the sites where needed – order to be placed before 3 pm every day (Ensure correct tar is being booked).
- Aid site Managers where required.
- Book all labco testing as well as ensure to obtain results on inhouse and labco tests.
- Provide support to the office staff and project coordinators team to assist unblock any blockages preventing execution.
- Generally, this would be to obtain info from the site staff such as before during and after photos and updates.
- Manage and coordinate the tracking of all site materials with the warehouse manager to ensure no losses accurse and material gets booked back in the correct manner to the client.
- Sheet to be pulled up and material usage to be tracked daily to avoid mismanagement. All left over materials to be booked back to client.
- Leftovers + actuals = total material list
- Communicate and coordinate on all what’s app groups.
- Need to aid all what’s app groups where applicable.
- Provide Accounts with all actuals of a site to invoice.
- Manage all Info of the project to be placed on the server and submitted to the client
- Manage all project escalations / snags as well as complaints.
- Manage and order slurry where needed – Generally Portland’s
2. HR Management – The management and implementation of all old and new contracts, Amendments as well as keeping up to date with all Legal Labour Laws. Managing the flow of any HR communication between the CEO and Staff.
Tasks, not limited to –
- People management
- Assist with all Labour issues and queries.
- Attending to all misconduct and understanding the code of conduct.
- Reviewing all staff quarterly with the CEO and implement staff reviews accordingly
- Assisting with all record keeping of all misconduct and provide sufficient information when reviews, hearings and CCMA cases are undergoing.
- Keeping all Staff up to date with business hours, policies, and rules.
- Log overtime on payroll staff
- Log daily staff registers
- Manage sick leave and annual leave register
- Manage weekend work rotations.
3. Quotes and Finance – The managing and drive of all the Quotes on the following sectors: Fleet Rentals, Cape Villas accommodation, any other quotes allocated by the CEO.
Tasks, not limited to –
- Assist with logging information for finance to conduct invoices
- Assist Accounts by providing log sheets of all fleet rentals
- Assist Accounts with all project actuals and planning for invoicing
- Provide Accounts with any orders or payments to prompt for projects or any other divisions brought to your attention.
- Manage PO system accordingly.
4. Office/Workshop Management – The upkeep, Management, and neatness of the office
Tasks, not limited to –
- Ensure there is cleaning products and toiletries for the office
- Ensure refreshments are replenished (tea/coffee, etc.) in the office
- Ensure that the monthly office stationery has been prompt and ordered via the staff. Accounts to order the stationary.
- Ensure warehouse stock take gets concluded once a month.
- Ensure all equipment and electronics are being logged and captured
- Ensure all H&S equipment in warehouse are being logged and managed properly
- Having meetings daily with staff to conclude daily tasks
- Providing support to staff to conduct their tasks where needed
- Daily progress meetings to be conducted with the CEO to provide feedback on the tasks and projects to be concluded.
- Print and provide all quotes and tenders to CEO for costing and be the communication channel to drive the process and conclude quotes.
- Follow up on quotes.
- Double check Recon’s where indicated.
- Fleet rental hours, Drill numbers, Micro trenching meters on a site.
- Check on Warehouse team to ensure work is being concluded
- Check with Warehouse manager on tasks and communicate it to the CEO
- Ensure all electronic devices are working and internet is working.
- Ensure all staff have working tools to conduct their work
- Ensure sufficient training is given to staff where needed
- Manage company office card and provide slips to Accounting department
5. Marketing
Tasks, not limited to
- Manage and check monthly Facebook content plan
- Provide support to staff conducting the Marketing
- Send email ads out once a month in the beginning of month to email list
- Provide feedback to CEO on the marketing
- Check all marketing posts with staff and support.
- Set up advertisements
- Manage meetings and provide support to the IT consultants where required
- Provide meeting feedback to CEO and prompt changes where needed
- Generally, on the webpages and social media accounts
6. Miscellaneous tasks (as per CEO instruction)
Task generally, not limited to
- Manage all personal matters
- Submit the monthly Eskom account photos
- Submit all personal documents where applicable
- Make coffee / Buy Lunch
- Manage all appointments and bookings that the CEO requires
- Provide link locations and directions when on road/ travelling
- Provide as communication medium between staff and CEO
- Travelling time required (from time to time)
