SUMMARY:
A leading tertiary institution is seeking a suitably qualified and experienced individual to join their team as an Operations Manager - Office of the Registrar

POSITION INFO:

Duties & Responsibilities

The appointment is at the senior management level. The Operations Manager works directly with staff in the division and with the senior staff in the brands and head office functions and all teams in CAT.

The exact nature of the responsibilities will vary from time to time according to the needs of the institution.  The incumbent must be capable of designing, implementing, reviewing, and improving all operations and interfaces in the Division, using human resources and technology-based systems, solutions, and processes.

Key Areas of Responsibility Include:

General

  • Work with the Registrar to ensure that the division meets its key obligations to the institute effectively and efficiently by monitoring, improving, and supporting the work of the division against these objectives
  • Ensuring the availability and correct skilling and performance of the team to deliver against the objectives
  • Ensuring the availability of the technological, process and information systems and support to enable achievement of the objectives and pre-emptive action to mitigate risk
  • Review, refine, develop, implement, monitor, and refine administration systems and processes to support the above
  • Liaison with the tertiary brands and CAT to troubleshoot and to ensure effective delivery
  • Development and training of team members and contribution to their management, supervision, and oversight
  • Office management – IT assets, workspace etc
  • Contribute to budget setting and control
     

Effective running, leadership, and development of operations in the division: 

  • Manage operations to deliver projects to meet the required outcomes
  • Take leadership role in the improvement of systems, policies and processes that will enable more effective and efficient delivery in this area
     

Stakeholder:

  • Manage relationships with brands formally and informally to support their success and our effective delivery
  • Engage with internal and external stakeholders as required to achieve this
  • Take ownership of relationships with support functions such as the systems unit (ITSU)
 

Tracking and Information Management:

  • Full responsibility for tracking systems and processes including appropriate escalations for identified risks
  • This includes improvement of the systems and associated reports

 

Administration and Governance:

  • Participation in formal governance and management structures as required
  • Ensuring those on team provide accurate information on time to enable governance and internal and external compliance
  • Ensure policy compliance
  • Ensure that Student Hub provides accurate, effective and efficient service.  Monitor and resolve escalations
 

Desired Experience & Qualification

Preferably a Postgraduate qualification but at least an initial qualification at degree level

Experience:


Not all of these are required, but will be preferable – the total skill set will be considered:

  • Normally, at least five years’ experience in an operational role in an education institution
  • Some management or supervisory experience with a span of control of at least 6 people.
  • Work experience in a complex structure and experience within a matrix management system (having to exercise leadership over people who report to other line managers)
  • Operations experience in a multi-site context
  • Familiarity with higher education
  • Technical ability to work effectively using tools such as SharePoint, MS Planner and a helpdesk such as Jira
     

Competencies:

  • Excellent communication skills particularly in English, both verbal and written, including the ability to communicate with a range of audiences clearly, concisely with a focus on specific and accurate and accessible information flow to the target audience
  • Numeracy skills demonstrated through ability to consume and organize and communicate data in a way that enables evaluation of effectiveness and efficiency
  • Computer literacy at the level that the person can drive the assessment of IT solutions to administrative challenges (IT support will be provided). High level of skills on tools such as Excel and SharePoint
  • Leadership, management, and administration
  • Conflict resolution, mediation, and cooperative communication skills
  • Interpersonal skills characterised by tact and diplomacy
  • Capacity to get others to follow by example and the ability to manage matrix management and communication structures
  • Attention to detail and ability to work with large volumes of data related to service
  • Proven ability to work constructively as part of a team, display initiative and work strategically and independently with limited supervision
  • Proven record of managing projects to a successful conclusion – delivery against deadlines
  • Able to acquire new skills to keep up with new technologies and or new knowledge areas.
