SUMMARY:
Job Title: Personal Assistant to Operations Manager and Director
Location: Durbanville, Cape Town
Industry: Custom Automation / FMCG Manufacturing
Overview:
Our client, a leading designer and manufacturer of custom automated production lines for the FMCG industry, is seeking a dynamic and highly capable Personal Assistant to support the Operations Manager and Director. This role will primarily involve supporting day-to-day operations across multiple departments including design, drafting, manufacturing, and product testing.

POSITION INFO:
Key Responsibilities:

Provide high-level administrative support to the Operations Manager and Director
Serve as the right hand to the Operations Manager, anticipating needs and taking initiative
Coordinate internal communications between departments to ensure smooth workflows
Manage schedules, meetings, emails, and travel arrangements
Assist with HR administration: onboarding, contracts, documentation, disciplinary procedures, and terminations
Support marketing activities including content preparation, coordination with design/print teams, and social media scheduling
Assist with customer communication, follow-ups, and general client relations
Maintain confidential files and records related to HR and business operations
Prepare and edit documents, reports, and presentations
Track tasks and ensure deadlines are met

Requirements:

Preferably aged between 35–45
Proven experience as a Personal Assistant, Executive Assistant, or Office Manager
Strong understanding of HR processes and basic labour legislation
Excellent organisational skills with the ability to multitask and prioritise
Strong interpersonal skills; able to build good relationships across all levels
Proactive, resourceful, and able to work independently without constant instruction
Tech-savvy with proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Professional communication skills – both written and verbal
Discreet and trustworthy with confidential information
Previous exposure to manufacturing, technical, or engineering environments is advantageous

A mature, dependable, and personable individual who thrives in a fast-paced environment and can offer calm, consistent support to a busy operations team. Someone who can "read the room", foresee needs, and act accordingly, becoming a seamless extension of the Operations Manager.
