The Projects Procurement Specialistis responsible for all routine and impromptu purchases made by the company from its affiliated vendors both local and international.

This includes preparing and processing purchase orders, keeping records of purchases, keeping vendor information up to date, liaising with suppliers with regards to purchase orders placed, ETA’s as well as negotiating prices and sourcing new company approved vendors when needed.

The Projects Procurement Specialist will guarantee that materials suppliers and equipment orders are placed in a timely fashion so that the company does not suffer a shortage. The job requires communicating with representatives in other departments of the company for supply orders, keeping those employees up to date on the status of orders that have already been placed, and assisting with any necessary returns.

The Projects Procurement Specialist will work closely with the accounting department to resolve problems with invoices and set up accounts with new vendors and will be the point of contact within the company for any vendor inquiries or issues.

Responsibilities.

• Coordinating and managing all activities during the purchasing process for projects, such as;
• Gather required quote as per agreed process.
• Creating purchase/sales orders.
• Obtaining approval on all purchase/sales orders.
• Monitoring deliveries of orders to regions against required timelines.
• Feedback on issues or actions resulted out of the order process to required team members.
• Analyse and monitor internal forecast of sales and inventory requirement.
• Approved PO or Proof of Payments to suppliers.
• Monitoring credit due to the incorrect supply or non-delivery.
• Manage inventory in databases and online systems.
• Monthly and projected BEE spend record.
• Ensure positive inventory on items while in line with active business projects and suggest purchase based on demand.
• Feedback and update on supplier status.
• Service providers clean-up and optimisation.
• Alt supplier suggestions based on strategic planning. 
• Improved relationships with a purchasing agent at the supplier.
• Warranty Policies review with FDJ.
• Monthly supply status feedback.
• Improved on the internal ordering notification of projects.
• Self-improvement via procurement trends and tricks.
