JOB DESCRIPTION:

Project Administration
• Plan, define project tasks and resources requirements and implement the project with the assistance of the Project Management Team;
• Develop, maintain and track project work plan deliverables and budgets;
• Organize and maintain filing system;
• Assist with proposal and report research, including compiling reports and documentation;
• Tracking contract deliverables and reporting milestones, ensuring compliance with the contract agreement, terms of reference and applicable laws (including tax laws) and regulations;
• Design and assist with PowerPoint presentations; formatting and editing documents;
• Compiling, managing and distributing publications and reports;
• Plan and schedule time allocation for management;
• Procurement of the stationery, training materials and relevant supplies to effectively implement the programmes and ensuring that ordering of stationery is well planned for in advance;
• Coordinate the hiring of catering services, venues, invitations, agenda, setting up meetings, minutes of meetings and attendance registers.


Administrative Support and Data Capturing
• Document management;
• Maintaining the PEP database, accurately capturing personal details, attendance and work schedule.
• Capture qualitative and quantitative data or information from hard copies to an electronic system – excel or a tailored management information system
• Update worker information on the database regularly in liaison with the implementing partners and participants;
• Ensure that all project-specific communication (memos, letters, minutes, etc.) is accordingly and appropriately filed;
• Conduct follow-ups with implementing partners or participants to collect missing data or values in the database, by conducting telephonic interviews or email follow-ups;
• Organize arrange data by sorting it and presenting it in a useful and meaningful way;
• Provide summary worker information (Control Sheet) for each month to the Programme Manager and/or Programme Team Lead

Qualifications
• Degree or Diploma in Administration or project management qualification.
• A minimum of 1 year’s experience in Administration or Project Coordination.
• Excellent command of the English language both written and verbal. Must have some understanding of local languages.
