SUMMARY:
An international industrial pumps company supplying into the mining, water, food, chemical and related industries is seeking a Project Administrator to support the project team including the management of project related procedures, documentation, organization and customer communication.

POSITION INFO:
Minimum requirements for the role: 

  • Minimum Matric and professional and educational background desired.
  • Minimum 5 years’ experience in project administration.
  • Basic technical understanding of pumps.
  • Must be an excellent communicator and a genuine commitment to customer service.
  • Must possess a capacity for developing creative solutions to business issues/ problems, along with good time management skills and a flexible attitude.
  • Computer literacy with good working knowledge of Microsoft.
  • Experience working with SharePoint, Power BI, Navision and database systems.
  • Must have a valid driver’s licence.

The successful candidate will be responsible for:
  • Organising, attending, and participating in Project Kick Off meetings with client.
  • Preparing quotations, sales orders, reports, and paperwork and following up of such.
  • Providing input to the Project Team.
  • Ensuring all pricing policies are followed.
  • Ensuring compliance with SA’s Environmental Health and Safety and Quality Assurance policies and procedures.
  • Stock control – Checking what stock is available once order was received.
  • Ensuring that all Quality Control procedures are followed during the project.
  • Ensuring project deadlines are met.
  • Arranging weekly project meetings with all role-players, including the drafting of agendas and minutes.
  • Maintaining and monitoring project plans, project schedules, budgets and expenditures.
  • Arranging final inspections with clients before delivery.
  • Capturing quotes and orders on system.
  • Opening of job files and sending to workshop.
  • Organising the project file and arraigning the filing after project was finalised.
  • Compiling and submitting of Tender documentation.
  • Attending to Commercial invoicing and Proforma invoicing.
  • Following up with suppliers on delivery dates.
  • Attending to Bureau Veritas Inspections.
  • Requesting Transport and Crating quotations.
  • Arranging crating and transport for collections.
  • Ensuring that the built of the pumps going according to the project schedule.
  • Ensuring that all items are ordered according to the procurement document.
  • Keeping up to date with new technology and products within scope of supply.
  • Carrying out market related research on new industries.
  • Attending and applying for Pump Licenses.
  • Requesting quotations from suppliers.
  • Compiling recommended spares for Tenders.
  • Following up on amended PO from clients.
  • Attending to repair pumps booked into the Workshop.
  • Opening of Job Files and Job Cards.
  • Drafting of Pump Tags, sending to client for approval and ordering of same.
  • Drafting and sending of transmittals to clients.
  • Drafting of QCP documents for all projects.
  • Sending drawings to clients for approval.
  • Carrying out duties over the above mentioned at the request from senior management from time to time.
