SUMMARY:
SHEQ Compliance Officer with 2-3 years FMCG exp.
POSITION INFO:
Purpose of the Position:
- To ensure the ongoing implementation, evaluation, control, and maintenance of various Quality, Health, and Safety standards within the company.
- To ensure adherence to the audit schedule while conducting internal and external SHEQ audits.
- Ensuring continuous improvement throughout the business by implementing policies, ensuring adherence to business procedures and improve quality, health and safety and food safety services.
Key Functional Responsibilities:
- Monitor DC temperatures on Testo System, report all deviations and ensure resolution of the issues.
- Monitor call logs per DC– considering all Food Safety and Quality complaints, (i.e., stock out of temperatures, short shelf life and transport damages). Addressing with relevant departments to ensure that they take corrective action.
- Report on quality and food safety issues in the DC at the daily Operations Meetings.
- Walk the warehouse floor and DC premises – note housekeeping and sanitation, pest control, cross-contamination, allergens, chemical management, spillage control, ensuring that the employees are wearing the correct PPE (reflectors, safety boots), monitoring staff hygiene, condition of equipment (clean, no temporary fixes, no leaking oil etc.), DC condition (doors close properly onto dock levelers, holes in wall, racking condition etc.).
- Carry out regular inspections on warehouse processes, i.e., receiving, loading, delivery, stock control, ensuring procedures are being adhered to and resolve all deviations.
- Understanding Halaal process, Allergen control, Handling of non-conforming products.
- Investigate all food safety incidents and compile the food safety report.
- Conduct internal quarterly audits across all customers based on DQMP, DART, FSSC, RBI, and DQSP requirements – using audit schedule set by SHEQ Compliance Manager.
- Non-conformances – follow up and validate, to ensure close off by assignees. Verify corrective action taken to prevent reoccurrence.
- External audits – assist with audit preparation and heading up the audit in conjunction with the department heads, assist with understanding of findings (non-conformances) and corrective action taken for close off.
- Drive Food Safety culture and Quality culture with the DC Food Safety team members.
- Recalls – Provide technical knowledge and advice. Ensure proper running and closure of recalls and mock recalls with in specified times as per procedure. Initiate mock recalls for all customers throughout the year to ensure compliance with customer requirements.
- Training Food Safety team in changes to the legislation, standards, and any other additional requirements.
- Document evaluation in all departments, relating to food safety, quality, and health and safety, including service providers documents and reports on all non-conformances and deviations.
- Ensure that facility inspections are up to date (facility and trucks COA, PPECB, ZA Export and Halaal certificate regulatory compliance).
- Environmental monitoring, ensure that the full SANS water analysis, legionella test for condensers, micro swabs and air plates are current and completed once a year.
- Inspection of returned products and ensuring that the process is adhered to in accordance with the procedures and customer guidelines.
- Implementation and continuous improvement of food safety (ISO 22000) and health and safety (ISO 45001) systems.
- Attend monthly meetings with the KFC and MCD QA teams.
- Ensuring facility equipment calibrations are up to date.
- Trend and analyse customer complaints and recommend corrective action.
- Monitor weekly induction and SOP training reports, ensuring certification of all employees.
- Assisting and advising on QIP equipment and ensuring that the QIP station boards have current documents.
- Trend analysis of data (non-conformances, micro results, internal and external audit results).
- Ensuring that HACCP studies are current and relevant and provide training for new employees.
- Coaching and supporting team members where necessary to achieve objectives.
- Integrate best practices from both inside and outside the Company to improve quality and food safety system.
- Conduct risk assessments as part of approval of any new / existing or change in product handling.
- Update quality training questionnaires or exit criteria with HR to cover customer requirement.
- H & S additional duties and responsibilities added and included in the revised QA Auditor position and amended to SHEQ compliance officer
- Ensuring compliance with environmental, quality, and health and safety standards.
- Support the DC in implementing the standards, procedures, and policies applicable to the Company and as per the customers’ requirements including legal requirements, to ensure compliance.
- Conducting quarterly internal HSE audits, and log non-conformances.
- Follow up on logged non-conformances to ensure that the proper root cause was determined.
- Advise the DC on HSE issues, ensuring compliance of the rules and regulations.
- Support the DC in implementing SHEQ and ISO 45001 standards.
- Support the DC in ensuring that external inspections are up to date and DCs are well prepared (SWA and ISO 45001)
- Incidents and accidents SHEQ management investigations, advise and provide guidance to management or H & S teams.
- Updating and reviewing Risk Assessment on a regular basis as per guidelines and risk policy.
- Ensure that safe work procedures are in place for risky processes.
- Future growth of responsibilities, regarding compliance in other departments and areas of the business.
- Compliance auditing of the following departments: HR; IT; Fleet, Finance; Facilities; Supply Chain; other.
Requirements:
- Two - three years in logistics within the FMCG sector
- Diploma in Food Technology and Safety Management
- Intermediate Computer literacy MS Office – Excel, Outlook, and PowerPoint
- Knowledge of FSSC 22000, ISO 9001, HACCP, and ISO 45001
- Knowledge on SAMTRAC/ Safety
