SUMMARY:
VACANCY: SENIOR ADMINISTRATOR 
Location: Westville, Durban

We are seeking a highly professional, organised, and proactive Senior Administrator to provide comprehensive administrative, secretarial, executive support, and marketing coordination services to Divisional Managers.
The successful candidate will possess exceptional organisational and communication skills, demonstrate sound judgement, maintain strict confidentiality, and thrive in a fast-paced professional environment.

Key Responsibilities

• Provide high-level administrative, secretarial, and personal assistant support to Divisional Managers.
• Manage executive diaries, schedules, appointments, meetings, and travel arrangements.
• Coordinate and prepare meeting agendas, minutes, presentations, reports, and executive correspondence.
• Draft, proofread, and manage professional letters, reports, emails, proposals, and other business documentation.
• Maintain accurate filing systems, records, databases, and confidential documentation.
• Track, monitor, and follow up on action items, deadlines, and management deliverables.
• Coordinate internal and external meetings, workshops, conferences, and corporate events.
• Assist with office administration, procurement processes, and general operational support.
• Compile management reports, dashboards, presentations, and other business information required for decision-making.
• Serve as a key liaison between management, employees, clients, service providers, and external stakeholders.
• Support divisional projects through effective planning, coordination, and administration.
• Lead and support marketing, branding, and communication initiatives, including the development and coordination of promotional materials, company communications, newsletters, presentations, social media content, and marketing campaigns.
• Coordinate corporate branding activities, events, sponsorships, and stakeholder engagement initiatives to enhance the organisation's visibility and reputation.
• Maintain and update marketing databases, contact lists, communication platforms, and relevant content repositories.
• Assist with the preparation of marketing reports, campaign tracking, and the coordination of communication strategies across the business.
• Utilise a broad range of digital tools, business software, and office technologies to support efficient administration, communication, reporting, document management, data analysis, and workflow coordination.

Minimum Requirements

• Diploma or Degree in Business Administration, Office Management, Marketing, Secretarial Studies, Communications, or a related field.
• Minimum of 5 years' experience in a senior administrative, executive assistant, personal assistant, or similar role.
• Advanced computer literacy with demonstrated proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, Teams), document management systems, online collaboration platforms, and other business software applications.
• Strong ability to learn, adapt to, and effectively utilise new technologies, digital platforms, and administrative systems.
• Experience in marketing, communications, branding, event coordination, or stakeholder engagement will be advantageous.
• Excellent written and verbal communication skills.
• Strong report-writing, minute-taking, and document management skills.
