Senior Commercial Secretary

JOB DESCRIPTION:

INTRODUCTION

A prestigious Law Firm in Rivonia is looking for a Commercial Secretary to provide secretarial and administrative support to the senior partner and department.

MAIN RESPONSIBILITIES

Providing full secretarial support for Partner, including arranging appointments, dealing with client queries in person and by phone, together with preparation of correspondence and documents
Strong administration and organisational skills to manage diary, answering telephone calls and tracking messages
Strong Commercial background and typing of Commercial Agreements
Formatting legal documents and incorporating amendments to documents
Minute taking to be circulated weekly / monthly
Maintain and update client contact details
Prepare and maintain client files
Preparing pre-bills and billing memos
Managing Debtors
Dictaphone and copy-typing of a wide range of documents
General office and personal administration

REQUIRED EXPERIENCE AND QUALIFICATIONS

Matric / Grade 12 - compulsory
Secretarial diploma/ legal secretarial diploma/ paralegal qualification (advantageous)
12 - 15 years’ experience as a Commercial Secretary
Excellent knowledge of MS programmes (advanced skills on MS Word and Excel)
Knowledge on Practise Manager or similar accounting system
Knowledge on FileSite
Must be well-organised and meticulous
Strong communication skills (verbal and written)
Attention to detail
Good interpersonal and communication skills (verbal and written)
Must be conscientious and maintain confidentiality
Honesty, reliability and punctual
Ability to multi-task
Ability to work well under pressure and in a fast-paced environment
Excellent client relationship skills
Work flexible hours when required
