Job Description: Senior Project Manager  

Purpose of Position (why does the position exist)

To develop, manage, and refine a UBS Project Management framework that aligns and guides the various processes and stages from project initiation to implementation, to monitoring and evaluation in the context of quality standards and best practices.

To guide, advise and assist the CSD Executive and project members across UBS projects that are at various stages of completion, ensuring that project management in UBS complies with the framework and that projects achieve their pre-determined outcomes and are achieved within the defined standards.

To monitor, track and evaluate all UBS projects, maintain progress reporting and ensure a coordinated and well-managed project management environment and supporting data base, with effective resource monitoring and payment tracking processes in place.

To ensure that project leaders and participants understand the UBS project management approach (at project leader, participation and service provision level) to build consistent effectiveness.

Objective of this Scope of Work

An IT Project Manager, or IT Project Leader, is a professional who oversees the implementation of IT infrastructure and software within the organization. Their main duties include project planning, resource allocation and project implementation that is in line with the organization standards and policies. 

Scope of Services Definition 

The scope will include but will not be limited to:

• Managing the day-to-day IT operations, networks and computer systems
• Creating IT project budgets and reallocating resources where necessary
• Directing the recruitment of IT staff and mentoring the in-house IT team
• Ensuring that employees are following computer use, information security and privacy policies
• Providing regular and up-to-date status reports to stakeholders
• Developing a renewal and upgrade schedule for company software programs
• Running vendor management process to ensure the company’s data security
• Ensuring that the project is timely by setting time marks 
• Sustaining the project after completion by devising suitable maintenance and troubleshooting methods

IT Project Manager skills and qualifications

A successful IT Project Manager candidate will have various prerequisite skills and qualifications in order to execute their duties successfully including:

• A solid understanding of IT systems, networking and computer software
• Excellent verbal, written and presentation skills
• Leadership skills
• Ability to motivate IT staff
• Logical problem solver who can operate under constraints
• Strong organisational skills
• Ability to juggle multiple task.

IT Project Manager education and training requirements

• Bachelor’s Degree in Computer Science, Project Management or equivalent certification.
• Or Master’s Degree in Computer Science or Information Technology.
• Must have a Certification in either PRINCE2 and PMBOK

CSD Projects Financial & Risk Management Services

• (To develop a financial management and risk assessment/ monitoring approach in close alignment with Finance that allows the assessment and monitoring of project financial compliance/viability and the mitigation of risks, serving optimal project success).

CSD Projects Planning Support Services

• (To guide the project the project planning process, starting at tender/request for quote stage, in order to ensure thorough and comprehensive planning and consideration of requirements and ensure follow-through into workable and purpose appropriate project plans – serving both tenders/proposals and implementation.)

CSD Project Implementation Support & Advisory Services

• (To part-take in project implementation planning and guide the process throughout, ensuring plans meet project framework requirements and that monitoring and ongoing evaluation integrated in the plans. To support and guide implementation throughout the project.)

CSD Projects Stakeholder Liaison and Alignment Support

• (To ensure that project stakeholders are clear on each other’s role in relation to the projects and that effect project communication is maintained between external, solutions/innovations, CSD, KAM and customer representatives. Informs and mediates between these parties where required to ensure alignment and unfettered project progress – also in the context of multiple projects and client sites).

CSD Projects Monitoring, Audits & Assessments

• (To develop and apply a comprehensive projects monitoring, auditing and assessment approach integrated in projects plans and supporting systems that allow for project reporting, evaluations, intermittent audits and final project effectiveness assessment and ensure such information informs feedback requirements and decision making).

Resources Utilised and Controlled

Indirect impact on fees income from projects to the annual value of around R 100 million and impacting all projects participants in their learning and practices in this area (possibly 100 participants involved per annum).

Freedom to Act

Operates within agreed projects related targets and policies, which s/he directly impacts. Optimises within this framework at various levels, interpreting the framework in practicable ways to reach defined outcomes. Will correct approaches in practice and enforce key requirements against the framework.
