Manage and maintain accurate client information and communication records.

POSITION INFO:
A leading company in Financial Services is looking for a Administratoin Assistant to join their team. Your: Formal Education Matric (Grade 12) 2-5 years' experience in the administrative environment Diploma in Administration (advantageous) Experience: Experience in a financial services or investment-related administrative environment. Language Requirements: Fluent in English (written and verbal) Functional understanding of Afrikaans (optional) Will enable you to: Duties: People Proactively manage client and advisor communication and queries. Process client and advisor requests. Interact with clients, staff, and other stakeholders. Regular interaction with clients, fellow employees, business management and LISPs to ensure the effective delivery of communication and administrative requirements. Procedures Load new clients in the CRM systems (Wealth Connect & Opus). Collect mandate and documentation. Follow up on queries, outstanding information and incomplete documentation. Client service-related duties. Scan and digitise original documents to ensure all client records are accurately captured, securely stored, and easily accessible in electronic format. Assist teammates with administration issues. Update and maintain the database. Identify inactive investments. Monitor client folders on the CRM system. Perform general duties to include, but not limited to, copying, mailing, and filing of organizational documents and records. Open, sort and distribute incoming correspondence and email. Answer all incoming calls promptly and politely; assess caller's requirements; transfer calls; take messages; deliver messages to the relevant staff member timeously. Linking of Advisors. Prepare quotations on a platform. Assist advisors with mandates and general administration. Processes Follow internal procedures as per the administrative procedure guideline. All administrative duties must be executed within turnaround times. Ensure that the principles of FAIS and FICA are applied. Technology Use the CRM systems. Use the platform portals Full working knowledge of Microsoft Office, including Word and Excel.
