Position Overview:

To supervise and manage the Student Support Office. The Team Leader must provide superior customer service to student and employees of the institution and assumes overall responsibility for the administration and support of the department as well as to ensure the successful implementation of all policies and processes.

 

Minimum Requirements:

  • Grade 12 or relevant qualification
  • 3+ Years’ relevant experience in the higher education and administration environment
  • Intermediate to advance skills in Microsoft Office
  • Knowledge and competence in CRM (Customers Relationship Management) software (Advantageous)
  • Demonstrate knowledge, management, and coordination in the following areas:
    • Examination process
    • Graduation process
    • Assessments
    • Certificate process
    • People management
    • Report writing and presentation
    • Project management
    • Strong administration skills
    • Ability to work under pressure

 

Responsibilities:

1. Management of Departmental Tasks

Effective and efficient management of all tasks and/or activities which are performed by the department, this includes but not limited to:

  1. HET (Higher Education and Training) and Short Course Programme Assessments
  2. Releasing of Assessment Results - Releasing all results to students on portals
  3. Certificate Process - Management of the certificate process etc
  4. CRM Case Management - Ensure accurate capturing of information on CRM etc
  5. Reporting - Departmental stats, HET starts & Short Courses stats
  6. Graduation - Booking of venues, ensuring certificates are printed etc
  7. Divisional Meetings - Holding weekly meetings and documenting minutes
  8. Communication to students - Management and coordination of all communication sent to students from the Student Support Office
  9. Client Liaising - Internal and external client liaising

2. Management of Staff

  1. Responsible for staff attendance
  2. Responsible for performance reviews
  3. Responsible for staff disciplinary action
  4. Responsible to determine skills required by staff and ensure training takes place
  5. Manage annual leave and sick leave
  6. Responsible for the optimal and efficient use of human resources
  7. Responsible VPPP allocations
