TENDER COORDINATOR
INHERENT REQUIREMENTS:
•Matric
•Proven and solid experience and knowledge working in the Temporary Employment Services (TES) industry
•Experience in / with the business / operations of the Staffing and Outsourcing Cluster in the Group
•Understanding the rules of tendering, feasibility and risks as a methodology
•Experience in South African government / public sector tenders and regulations
•Content writing skills
•Proficient in the Microsoft Office Suite, with advanced skills in Word, Excel, and PowerPoint
•Good mathematical acumen
•Ability to analyse, prioritize and structure information
•Ability to work on multiple tenders simultaneously and meet deadlines
•Efficient and professional communication skills in English (both verbal and written)
PREFERRED REQUIREMENTS:
•Association of Proposal Management Professionals (APMP) Foundation certified (advantageous)
•Experience in Africa tender submissions (advantageous)
DUTIES AND RESPONSIBILITIES:
•Coordinate national and international (Africa) tender requests within the assigned portfolio, in accordance with the Group’s Tender Management Policy and Company Standards (APMP-aligned), with the objective of securing contracts
•Draft initial proposals aligned with the client’s requirements, Business Unit products and services, and overall Business Unit strategy
•Liaise with Country Managers (Africa) to ensure that we have exposure to tender opportunities
•Assist in identifying tender risks (commercial, financial, project, resources etc.) and escalate as appropriate
•Liaise with other Group Departments where required to obtain information that is needed in response to the tender
•Understand financial basics and contribute to costing strategy sessions to ensure a strategic win price, and review final costing to ensure it is in line with the tender request
•Ensure that the Statement of Works, SLA’s, Sub-Contracting Agreements, Memorandum of Understanding, Legal Memo, Board Resolutions, etc. are in place where required
•Obtain inter departmental signoffs according to the Tender Process and Business Units’ Delegation of Authority
•Monitor tender adjudication phase and provide win / loss feedback
•Coordination of tender queries on submissions and response to clients
•Maintain the tender management reporting database for your Portfolio
•Manage all Company statutory documentation applicable to Tenders and ensure validity thereof across your Portfolio
•Sourcing of tender opportunities and management of tender key account lists for your assigned Portfolio
•Liaise with and support Business Unit Managers, Sales, and other company personnel on tender-related matters and associated processes as needed
•Exhibit sound knowledge of your assigned Business Units and working knowledge of other Portfolios
•Establish and maintain effective communication and relationships with all stakeholders within your portfolio
