Tender and Compliance Administrator

J brew Resourcing is a division of J Brew Solutions. This division specializes in Sourcing and Recruitment Process Outsourcing (RPO) services and IT consulting. Our subscription model simplifies the hiring process, offering tiered packages to meet the diverse needs of our clients.
We are looking for a Tender and Compliance Administrator to join our team and will be based in Sandton for a 12 month ‘s contract.
 
Main job functions would be to create and implement a Tender and Proposal strategy and framework, maintain the Compliance status of Company in the submission of competitive tenders and proposal that will contribute towards the growth objective of the Company.

Responsibilities:

Operational Service Delivery

• 
  -Plan and execute all digital marketing, including SEO/SEM, marketing database, email, social media and display advertising campaigns on behalf of the company.
• 
  -Design, build and maintain a successful social media presence for the organisation.
• 
  -Oversee all tender associated cost preparation responsibilities.
• 
  -Conduct relevant research and obtain factored / sub supplier costs where necessary.
• 
  -Collaborate with relevant stakeholders to proactively source viable RFQs throughout the industry.
• 
  -Prepare complete, high quality, competitive technical and commercial proposals on behalf of Company.
• 
  -Perform the required editing and proof reading of tender submissions and proposals to ensure quality standards are met.
• 
  -Ensuring tender submissions are submitted on time and via the correct delivery method.
• 
  -Continuously source new tenders and project leads.
• 
  -Conduct tracking of all tender related correspondence before, during and after submission.
• 
  -Assist in the development, implementation and monitoring of tender procedures and practices.

  -Identify and mitigate internal systems and procedural barriers to enhance excellent customer service.
• 
  -Build and maintain effective internal and external stakeholder relationships for the purpose of expectations management, knowledge sharing and integration, and to manage the organisation’s reputation.
• 
  -Provide for the creation and maintenance of mutually beneficial relationships with all relevant stakeholders by ensuring that all partner obligations are met, and expectations exceeded.
• 
  -Convene, chair and attend meetings and present findings and business cases to relevant stakeholders when required.
• 
  -Investigate and resolve operational complaints through timeous resolution and/or escalation as required.

• 
  Relevant Diploma in Procurement, Supply Chain Management, or a related field.
• 
  NQF 6
• 
  -5 Years relevant specialist experience in a tender/proposal coordinating, procurement, supply chain management or similar role is required.

• 
  -Good verbal and written communication skills.
• 
  -Demonstrated proficiency in the relevant Microsoft Office suite.
• 
  -Proven track record managing successful tender and proposal processes from inception to conclusion.
• 
  -Experience in dealing with complex tenders.
• 
  -A working knowledge of procurement practices within an engineering or highly technical environment is preferable.
• 
  -Good relationships with stakeholders and an energetic approach to work.
• 
  -Detail and process orientated.

  -Effective administration and organising skills.
