  The Role:

  Essential functions:

  • Assisting Management Operations Executive and Head of Operations across different Business Units with a high volume staff count and to ensure BU specific Policies and Procedures are adhered to
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes
  • Keeping well-organised categorised filing systems
  • Co- ordination of travel arrangements for employees and ensuring its within budgets
  • Assisting and supporting administrative duties nationally and providing effective communication on new policies and procedures
  • Scheduling appointments
  • Preparing meeting ensuring and ensuring minutes and tasks are actioned with given timeframes
  • Development of processes to achieve office efficiency
  • Initiate strong relationships with Management and Administrators for quality control
  • Do spot checks on quality of workmanship
  • Maintain and Monitor Yearly approved Budgets for each BU (Headcount, TCOE, Capex and all other costs budgeted)
  • Processing Onboarding of Permanent and Contract Based staff members and ensuring recruitment process had been adhered to.
  • Monitoring of Resignations and Terminations and ensuring employees are exited in accordance to HR Policies and Procedures.
  • Management of ticketing system and monitoring till resolution by Finance and/or HR
  • Management of fuel cards between finance and treasury to ensure cards that are issued are within budgets
  • Compiling of Financial and Admin reports
  • Formulating of monthly presentations
  • Maintaining of ISO9000 Standard
  Skills and Experience:

  Qualification Essential Competency:

  • Matric (Essential)
  • Diploma or Degree in Business Administration (Essential)
  • Qualification in Microsoft Suite

  Experience required:

  10 years

  • Proficient Microsoft Office experience is required
  • Administration and Management â?? Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.
  • Diary Management experience is required
  • English Language â?? Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Clerical â?? Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
  • Processing Information â?? Compiling, coding, categorizing, calculating, tabulating, auditing, or verifying information or data. 

  10 years

  • Economics and Accounting â?? Knowledge of economic and accounting principles and practices, and the analysis and reporting of financial data.
  • Mathematics â?? Knowledge of arithmetic, algebra, geometry, calculus, statistics, and their applications.
  • Customer and Personal Service â?? Knowledge of principles and processes for providing customer a and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
