Commercial/ Legal Secretary

SUMMARY:
A specialist law firm offering clients a high level of expertise in Corporate, Commercial, Trust, Tax law and administration of estates is looking to appoint a Commercial/ Legal Secretary.

POSITION INFO:
Requirements: Computer literacy: Microsoft Word; Excel; Outlook; An inhouse computer programme is used for drafting of most documents in respect of which training will be provided Self-motivated and takes ownership of tasks without needing constant supervision Fast and accurate typing; detail-oriented with a strong focus on accuracy and quality of work Ability to work at a steady and productive pace, meeting deadlines without unnecessary delays Excellent written and verbal communication skills; must be a confident communicator who engages with clients, colleagues and management; Professional, reliable and committed to maintaining high performance standards Document Preparation & Legal Drafting Support Draft, format, and proofread Agreements and contracts Legal correspondence Reports, memoranda, and presentations Ensure documents comply with legal formatting standards and firm templates Track document versions and maintain accuracy File & Case Management Open, organise, and maintain physical and electronic client files Ensure all documentation is properly filed and easily retrievable Monitor and update case or matter progress Archive closed matters in line with firm policies Client Liaison & Communication Act as a first point of contact for clients Handle: Telephone calls Emails Meeting arrangements Build and maintain professional client relationships Diary & Practice Management Manage attorneys' calendars, including: Meetings Deadlines Court dates (if applicable) Coordinate appointments and ensure time is effectively managed Track critical deadlines to ensure compliance Billing & Financial Administration Assist with: Time recording Drafting invoices and billing packs Following up on outstanding payments Assist with the preparation and management of Commercial contracts Fully bilingual candidate - English and Afrikaans Experienced mature legal secretary Please note that if you have not received a response within 14 days of submitting your application that your application was unsuccessful.
