Ecommerce Systems & Operations Specialist

SUMMARY:
Our client is looking for a highly analytical and process-driven Ecommerce Systems & Operations Specialist to investigate, stabilise and ultimately take ownership of its ecommerce operating environment.

The business has ambitious plans to grow its ecommerce channel. To support this growth, it requires a dedicated specialist to resolve the fundamental systems and process challenges affecting product publication across Syspro, Stock2Shop, the company website, Takealot, Amazon and other online channels.

This is a hands-on individual contributor role. There is currently no established ecommerce team or fully documented process to oversee. The successful candidate will be expected to personally work through the detail: trace data across systems, test product listings, identify failures, engage with users and technical providers, and build the processes, controls and documentation required for the function to operate effectively.

The role requires someone who can think both strategically and practically, able to understand the broader ecommerce growth objective while logically breaking down complex problems and translating them into clear, repeatable processes.

This is not a digital marketing or traditional ecommerce administration role.

POSITION INFO:
The Person: Relevant qualification in Information Systems, Business Analysis, Ecommerce, Process Management or a related field would be advantageous. Experience in ecommerce systems, ecommerce operations, business analysis, systems analysis or integration analysis. Experience working with ERP systems and integrated ecommerce platforms. Syspro experience would be highly advantageous. Stock2Shop experience would be a strong advantage. Exposure to online marketplaces such as Takealot and Amazon. Good understanding of data flows, APIs, system integrations and scheduled synchronisation processes. Strong systems-testing, troubleshooting and root-cause analysis capability. A highly logical and structured thinker who can break down complex systems and processes into clear, workable steps. Strategic thinking combined with a willingness to personally perform detailed investigation, testing and documentation. A natural problem-solver who is comfortable working with ambiguity and establishing structure where little currently exists. Able to work independently without relying on an established ecommerce team or existing processes. Strong stakeholder-engagement skills, with the ability to gather information, challenge current practices and gain cooperation across departments. Able to communicate effectively with operational users, management, ecommerce platforms and external technical service providers. Strong process-design and process-mapping capability, with experience developing practical SOPs, controls and training documentation. Comfortable taking ownership of a problem from initial investigation through to implementation and ongoing management. What You Will Be Doing: Personally work through the complete product-listing process rather than overseeing the work of an existing team. Map the complete product-listing lifecycle from Syspro through Stock2Shop to the company website, Takealot, Amazon and other relevant platforms. Sit with relevant users to understand what they currently do, why they do it and where inconsistencies occur. Observe and document how products are created and maintained in Syspro. Identify the fields and custom forms required for successful ecommerce publication. Establish how Stock2Shop receives, interprets and distributes product information. Document scheduled synchronisation jobs, processing times and any manual interventions. Map corresponding data fields across the ERP, integration platform, website and online marketplaces. Manually trace product data and changes through each system and platform. Create test products, monitor synchronisation cycles and verify the outcome at every stage. Confirm whether descriptions, categories, images, prices and product attributes are publishing correctly. Investigate missing information, incorrect category mappings, publication failures, synchronisation delays and data-overwriting issues. Work directly with internal stakeholders and external service providers to establish and resolve root causes. Bring together information held by different stakeholders and translate it into one clear end-to-end process. Challenge inefficient or inconsistent practices and recommend a more logical and sustainable way of working. Establish clear roles, responsibilities, controls and escalation points across the product-listing lifecycle. Personally develop process maps, SOPs, validation checklists and troubleshooting documentation. Train and support users in following the agreed processes. Take ongoing ownership of ecommerce systems, processes and continuous improvement. Initial Deliverables: A documented end-to-end product-listing process. A data-flow and field-mapping document. Identification of systems gaps, delays and failure points. Clearly defined roles and ownership of each step. A product-publication validation checklist. A practical troubleshooting guide. SOPs for new product creation, product amendments and marketplace publication. Recommendations for a sustainable and scalable ecommerce operating process. The Opportunity: Once the underlying systems and processes have been stabilised, the role has the potential to evolve into ongoing ownership of ecommerce operations, continuous process improvement and support of the company's growth objectives. As the function develops, there may be scope for the successful candidate to build and ultimately lead an ecommerce team.
