The Role: Executive Assistant The Executive Assistant serves as a vital layer of organizational and intercompany support to allow the CEO to focus fully on the core of the business and strategic thinking . This role exists to manage complex schedules, tools, and communication flows, protecting time and mental capacity for the highest priorities while handling a demanding schedule . Main focus areas encompass executive support, office management oversight, finance support, meeting coordination, and ad hoc marketing support . Key Responsibilities Apply 3 to 5 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role . Manage and maintain executive calendars, travel, and complex scheduling for the CEO . Manage the executive email inbox, establish systems to execute on requests, and prepare correspondence . Act as the first point of contact between executives and internal or external stakeholders with high discretion . Process monthly payments, track expenses, handle reimbursements, and manage supplier payments with finance . Oversee office operations, manage office cleaning staff and the Office Operations Manager, and maintain facilities . Organize meetings, leadership off-sites, prepare agendas, take minutes, and follow up on action items . Support onboarding of new staff and general HR administration with the HR Consultant, and assist with ad hoc marketing tasks and the Marketing Masterclass Podcast series . About You 3 to 5 years minimum proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role . Strong proficiency in Google Workspace . Exceptional organizational, time-management, and multitasking capabilities . Excellent verbal and written communication skills with high emotional intelligence and discretion . Ability to work independently, take initiative, be resourceful, and anticipate needs before they arise . Proactive problem solver with high attention to detail who can prioritize under pressure . Experience handling payroll, HR administration, or marketing coordination is advantageous . Bachelor''s degree in Business Administration, Communications, Marketing, or related field is advantageous .
