JOB DESCRIPTION:

Our Luxury Hotel in Camps Bay is seeking an Executive Assistant to join our bespoke team. The position supports the group COO to effectively achieve his strategic objective by providing support on a tactical and operational level, which includes managing the day-to-day strategic imperatives, projects, communication, implementation of key engagements, reporting on and coordinating the deliverables of executive management and stakeholder requirements

 

QUALIFICATION:

Grade 12 or equivalent

A Post Matric qualification in either Business Administration or secretarial and Office Management

Diploma or equivalent will be advantageous but not a requirement (Other University graduates with management experience may be considered)

EXPERIENCE:

  • 2-5 years’ experience as an executive level assistant
  • Advanced Computer Literacy (MS Office, internet browsers, and web applications, Excel essential )
  • Office Management experience will be beneficial

 

REQUIREMENTS:

  • Strong organizational, co-ordination and administrative skills
  • Excellent communication and interpersonal skills
  • Proactive and ability to work well under pressure and in a fast-paced environment.
  • Ability to use discretion and maintain confidentiality.
  • Able to work autonomously.
  • Keen Interest in learning business skills
  • Ambition to develop your career

Communication: Written Communication

Duties and Responsibility:

  • Preparing briefs for meetings and all forms of engagement
  • Preparing high-level presentations and reports
  • Compiling weekly Rosters
  • Compiling Monthly Hotel Ratings
  • Be responsible for all administrative tasks
  • Organize and maintain the office filing system
  • Ensure sufficient office supplies at all times
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Proactive diary management
  • Keeping confidential information
  • Making appointments and prioritizing the most sensitive matters
  • Managing the executive’s calendar includes organizing meetings, scheduling, and sending reminders.
