POSITION INFO:
Executive Assistant \/ Recruitment Operations Manager Play a key role supporting the Director of a boutique UK recruitment agency while contributing to recruitment operations, automation projects, and business growth. Remote (South Africa) | UK Business Hours (9:00 am - 5:00 pm, Flexible) | R21,000+ per month + Commission + Bi-Annual Performance Bonus ABOUT OUR CLIENT Our client is a boutique UK-based recruitment agency that has been operating successfully for 10 years. The business is hiring its second team member to support the Director and help improve workflows, streamline operations, and contribute to the next phase of the agency''s growth. The business is investing in recruitment operations, CRM optimisation, automation, and workflow improvements, providing the successful candidate with the opportunity to work closely with the Director on both day-to-day recruitment activities and strategic operational projects. THE ROLE: EXECUTIVE ASSISTANT \/ RECRUITMENT OPERATIONS MANAGER This role combines Executive Assistant support, recruitment coordination, candidate management, recruitment operations, and involvement in digital transformation initiatives. You will support the Director with daily operations while helping improve recruitment processes, CRM systems, automation initiatives, and workflow optimisation. The role is designed for someone who wants to develop into a more senior operations position as the business grows. KEY RESPONSIBILITIES • Manage the Director''s diary, inbox, and daily workflow. • Coordinate interviews. • Prepare candidate documentation. • Keep candidate and client data updated within the CRM. • Provide general administrative and organisational support. • Screen CVs. • Conduct candidate qualification calls. • Assess candidate suitability against job briefs. • Record candidate notes and updates accurately within the CRM. • Maintain an excellent candidate experience through clear communication. • Partner with the Director on strategic and operational initiatives. • Support CRM and ATS improvements. • Assist with CRM testing and data updates. • Assist with building new workflows. • Assist with creating SOPs and value-stream documentation. • Contribute ideas to improve efficiency, automation, and overall delivery. • Support recruitment operations projects. • Book meetings. • Assist with initial candidate calls. Career Progression Phase 1 • Work closely with the Director on business-as-usual recruitment activities and automation-led improvement projects. Phase 2 • Progress into a more senior operations role as the agency scales. • Assist with hiring junior support staff. • Lead projects from concept through to completion. ABOUT YOU • Experience in recruitment coordination, resourcing, or PA\/administrative support. • Strong CRM experience (JobAdder preferred, although experience with any CRM is acceptable). • Ability to work UK business hours. • Highly organised and able to manage multiple priorities. • Tech-savvy with an interest in automation, optimisation, and AI. • Ambitious, driven, and motivated by career progression, increased earnings, and performance bonuses. • Interested in growing beyond the role, building a team, and contributing to a modern, lean, data-driven agency. • Clear communication skills. • Strong attention to detail. • Ability to work independently and manage a fast-paced workflow. • Proficiency in Google Workspace or Microsoft Office. • Interest in automation and continuous improvement. • Supporting senior recruiters or directors (desirable). • Exposure to system migrations, workflow optimisation, or process optimisation (desirable). • Familiarity with sourcing tools and Boolean search (desirable).
