SUMMARY:

POSITION INFO:
- Oversee the collection, management, and reporting of all fleet-related data.
- Support fleet operations by ensuring compliance, efficiency, and cost control.
- Act as a central point of contact between operations, maintenance, finance, and compliance teams.
Key Responsibilities
Data Management & Reporting
- Maintain accurate fleet records (vehicle details, mileage, fuel consumption, licensing, insurance, and service schedules).
- Capture and update driver information, trip logs, and telematics data.
- Generate daily, weekly, and monthly fleet performance reports.
Compliance & Documentation
- Ensure vehicles are licensed, insured, and compliant with legal and company policies.
- Track and schedule regular inspections, services, and roadworthiness tests.
- Prepare documentation for audits and regulatory reviews.
Fleet Performance Monitoring
- Monitor fuel usage, vehicle downtime, and repair costs.
- Identify trends or irregularities in vehicle usage or driver behavior.
- Provide insights to reduce costs, improve efficiency, and enhance safety.
Communication & Coordination
- Liaise with fleet managers, drivers, and workshops to coordinate vehicle servicing and repairs.
- Support HR with driver compliance (licensing, PDP, medicals, etc.).
- Work with finance to reconcile fleet-related expenses.
Systems & Technology
- Maintain and update fleet management software or databases.
- Ensure telematics/GPS tracking systems are functioning correctly.
- Train users (drivers, managers) on data capture processes and system use.
Administrative Support
- Handle purchase orders and invoices for fleet-related expenses.
- Maintain supplier and service provider records.
- Assist in budgeting and cost tracking for the fleet division.
