POSITION INFO:

We are looking for an experienced HR / HC and Transformation Specialist (HR Manager) for a company based in Industria in Johannesburg to manage the day-to-day operations of the Human Capital department and plan, coordinate, execute and report on Transformation initiatives for the entity.

Requirements: 

• Minimum 5 years experience in a similar role
• Minimum of 3 years experience in Transformation role
• Extensive experience with the BEE Scorecard requirements is mandatory
• Experience on Sage300 People is a must
• Minimum qualification Bachelors degree
• Proven track record of union management and CCMA experience

Skills:

• Good reporting and data analytics skills
• Relevant tertiary qualification coupled with other BEE/HR-related courses is a must

Responsibilities: 

Operations

• Build good relations at Management and Staff levels
• Ensure that Branch visits are done on a regular basis
• Ensure employee matters are timeously addressed and escalated
• Train and develop staff towards appropriate interventions
• Understand B-BBEE and Employment Equity legislation and the practical implementation thereof
• Ensure employee records are maintained with relevant and up-to-date information
• Ensure policies are applied consistently and fairly across the company

Transformation

• Plan, coordinate and execute the transformation strategy for all business units
• Collate information from various stakeholders to periodically report on transformation
• Monitor, compare and comment on the various elements on a quarterly basis encompassing the implementation and achievement of transformation milestones
• Perform gap analyses and advise the various departments on improvements and corrective actions to take to achieve transformation milestones
• Ensure the efficient achievement of transformation goals is kept within budget and maximized through subsidies, grants, and other legislated benefits
• Ensure Legislative and internal compliance with B-BBEE Act and Codes, including BEE Scorecard
• Monitor transformation and B-BBEE legislative changes and updates
• Build and manage strategic relationships with relevant stakeholders
• Ensure audit and verification processes of the Company’s B-BBEE contributions and compliance are successfully conducted timeously on an annual basis

Human Capital

• Monitor, guide and measure the operations of the company’s Human Capital department
• Ensure service levels are maintained and improved through best practice
• Improve administrative workflow to maintain service and growth efficiency
• Monitor and verify statistics, demographics and reports on a periodic basis
• Ensure the HR system is maintained with a logical and efficient dataset
• Continuously manage projects and change initiatives in the organisation at various occupational levels
• Ensure all legislative and mandatory reporting and conformance are adhered to and submitted timeously with accurate data
• Advise senior management on best practice and conformance in terms of legal aspects of labour
• Build and maintain working relationships between Human Capital and all internal stakeholders

Recruitment and Selection

• Monitor, organise and execute all transactional recruitment processes required to meet timely completion and delivery of recruitment processes
• Ensure that short-listed candidates are forwarded for interviews and manage response handling
• Ensure all necessary pre-employment checks are in place (e.g. reference checks)
• Arrange interviews with candidates timeously and keep candidates informed of the progress
• Respond to queries related to the recruitment process timeously
• Populate and maintain a talent database of qualified candidates to fill future vacancies

Employee Engagement

• Facilitate the pre-boarding/ induction process for new staff
• Ensure engagement packs for all new staff are prepared within agreed timelines and processed accordingly
• Ensure submission of correct and complete paperwork to the payroll department to facilitate the employment of new staff
• Ensure that job descriptions are in line with the employee roles
• Ensure job titles are in line with existing group job titles
• Assist with change management on projects as required
• Provide support to management in respect of succession planning

Employee movements

• Ensure all employee movements are tracked and the necessary paperwork is completed

Industrial Relations

• Advise employees and managers on grievance processes and procedures
• Contribute to the Industrial Relations strategy by making recommendations on relevant policies, practices, processes systems and initiatives
• Strategise, research, develop and review appropriate Industrial Relations systems and processes and adopt best practices
• Manage and monitor Industrial Relations within the entity and ensure line management complies with all the labour related legislation and address non-conformances
• Lead and manage the integration of recognition and substantive agreements and conditions of employment in line with business strategy
• Interpret and manage conflicts within the workplace and facilitate the resolution of employee grievances
• Coordinate internal disciplinary processes and external dispute resolutions
• Engage with Union structures to resolve workplace issues and to manage retrenchment and incapacitation processes
• Ensure adherence to corporate governance and ethics guidelines
• Assess Industrial Relations risks, incorporate mitigating controls and manage the identified risks

Data Management

• Ensure the smooth running of HC workflow from entry to termination
• Provide first level HC support by answering questions and requests to employees
• Ensure data integrity and seek to resolve queries timeously and accurately
• Collate the required documentation of each of the elements of the B-BBEE scorecard
• Verify the authenticity of the B-BBEE data to be submitted for verification purposes

General Administration

• Ensure that all workflow and work procedures are documented, and that appropriate audits are conducted to ensure data management integrity
• Act as HC interface with Head Office
• Create and maintain an accurate filing system for all required HC documents

Reporting

• Preparation and compilation of the Company’s transformation report together with the supporting data sheets on a quarterly basis
• Timeous submission of the transformation report and ad-hoc required information
• Preparation of data and information required for purposes of B-BBEE verification
• Assisting with the annual Employment Equity statistics and reporting
• Compile and submit the Workplace Skills Plan and Annual Training Reports to the SETA
• Manage Employment Equity statistics and reporting
• Compilation and preparation of data and information required for purposes of B-BBEE verification and Transformation reporting, labour audits and ad-hoc monthly reporting
