JOB SUMMARY:
A leading digital concern requires a Head of Finance required to manage all aspects of Finance and HR (including staff training and skills development), while playing a key strategic role in the Executive team. This role is a blend of working at the office and working remotely.

JOB DESCRIPTION:

Requirements:
  • Accounting Related Qualification - CA(SA) / CIMA (Active membership required).
  • 15 years post qualification experience (Corporate experience, not audit experience).
  • 10 years Managerial experience (Team of 5+).
  • XERO, DEAR Inventory, Bamboo HR, Simple Pay is advantageous.
Duties and Responsibilities:

Financial Reporting:
  • Develop internal financial and accounting policies and procedures such to ensure adequate controls are installed and that substantiating documents are in place.
  • Ensure compliance with internal financial and accounting policies and procedures.
  • Document and maintain complete and accurate supporting information for all financial transactions.
  • Financial Modelling.
  • Prepare monthly management accounts.
  • Act as the financial spokesperson and custodian of the company.
  • Oversee and contribute to the production of monthly reports and other financial statements for use by Executive Management, the Board of Directors and / or the Audit and Finance Committee.
  • Attend board meetings.
  • Report any irregularities or perceived irregularities to the Board for consideration and guidance.
Budget Preparation and Management:
  • Prepare annual budget and present to the Board of Directors.
  • Assist department heads with setting of department budgets, as well as the monthly tracking of budgets to actuals.
  • Approve various department spend – compared to budget.
  • Approve all internal travel requests (Internal sales to be approved by CEO, installation, or maintenance travel to be on quote).
  • Approve all expense claims for payment (CEO to approve mileage for sales, Lead Project Manager to approve travel for PMs).
  • Provide CEO and senior management with an operating budget and work with them to ensure success through cost analyses.
Cashflow Management:
  • Accurate cashflow management and forecasting.
  • Develop and maintain financial accounting systems for management of cash, debtors and creditors.
  • Oversee debt collection and assist as and when needed.
Financing/Funding:
  • Assist CEO with raising Capital Financing.
  • Assist CEO with raising Project Financing.
Assist in Data preparation during acquisitions/new business:
  • Collate, prepare and analyse all financial and related data of business proposed for acquisitions by the company in order to establish commercial potential for Board consideration.
  • Ensure all statutory compliance are in place.
Project Management Accounting:
  • Manage project approval by assisting with the development and maintenance for policies and procedures around the project management of job.
  • Assist with project costing.
  • Ensure that signed documents and deposits are received prior to commencement of jobs.
  • Approve all accepted quotes to be processed through Project Tray without deposit or required documents (Where documents & deposits are required, Hardware can be ordered based in PO).
  • Provide guidance to PM’s and RM’s when projects do not run according to plan.
  • Perform project profitability analysis.
Revenue:
  • Remain actively involved in weekly revenue forecast/tracker updates; provide guidance to Business Development Executives in updating trackers and attend weekly sales meetings.
  • Oversee the job sign-off process, and only recognise revenue when final sign-off of a job is received by a client.
  • Assist with the preparation of monthly revenue report, to report any overs/’unders’ on revenue targets.
  • Oversee the annual increase process (to be done according to anniversary date).
Procurement:
  • Oversee the procurement process and ensure that stock is always at the optimal level.
Warehouse:
  • Develop, implement and maintain procedures around stock and the warehouse function to ensure that stock is accounted for accurately.
  • Assist in the design and implementation of warehouse policies, processes and procedures.
  • Ensure stock (including group stock) is controlled correctly and accurately as managed correctly.
Compliance:
  • Ensure timeously submission of WCA annually (May).
  • Ensure timeously submission of CIPC Annual Return (August).
  • Oversee the insurance function and ensure that the company has sufficient Insurance cover on all levels.
  • Ensure statutory compliance by correct and timeous submission and payment of VAT (monthly), Income Tax (annually), PAYE (Monthly & Bi-annually) and PROV tax (Biannually).
  • Liaise with Audit committee.
  • Liaise with external auditors.
  • Prepare all supporting document and information for the annual Audit. Provide the Board of Directors with post audit feedback, findings and solutions.
Ad Hoc:
  • Any duties as requested by CEO.
Remuneration and Payroll Preparation and Administration:
  • Assist in the design, implementation and timely calculations incentives, commission, increases and salaries for staff as well as management bonuses along with Board approval if and when necessary.
  • Oversee the payroll function to ensure that employees are paid timeously and accurately including annual increases, overtime, commission and bonuses.
  • Negotiate and manage employee benefits such as medical aid and group life cover.
  • Assist with the approval of new employee remuneration packages.
  • Oversee the leave administration function, and ensure that leave is taken in accordance with the leave policy and guidelines.
Manage Strategic Direction of Finance Team:
  • Bi-Weekly Department meeting to discuss any issues.
  • Update Month end planner for Finance team with deadlines.
  • Finance Team Goal Setting.
  • Set long term goals once every 6 months.
  • Set short terms goals on a monthly basis.
  • Plan and apply long term goals.
  • Plan and apply short term goals in order to meet long term goals.
  • Conduct annual performance review (OKR’s) and record outcome on file.
Oversee HR:
  • Oversee all HR practice (compliance)
  • Oversee Employment equity
  • Oversee Skills development
  • Oversee BEE
Recruitment & Appointments:
  • Work with Agencies on recruitment needs
  • Follow recruitment process in BAMBOO HR
  • Contractors to Permanent – use BAMBOO HR
  • Promotions
  • Change in roles (addendums)
Disciplinary:
  • Compile warning letters according to Induction Manual.
  • Disciplinary hearing process.
  • Assist Department Head with performance management.
  • Attend to grievances.
  • Retrenchment implementation where needed.
