JOB SUMMARY:
Office Manager
 
Location: Paarl – Western Cape  
 
What Will You Do?
Ensuring the smooth operational running of the company’s back office by providing administrative/operational support to the Director and manage all operational tasks of the business. Organise and coordinate administration duties and office procedures.

JOB DESCRIPTION:

Primary Responsibilities:
  • Organize office operations and procedures
  • Management of ad-hoc projects when required
  • Ensure that all items are invoiced and paid on time
  • Reporting on financials and other business-related matters that provides insights into the business operations
  • Management of all bookings
  • General Office Management and administration duties
  • When required respond to emails or other correspondence on behalf of the Director.
  • Managing travel-related needs, such as Visa, accommodation, flights etc.
  • Client invoicing
  • Maintaining spreadsheets, such as billings
  • Basic support to the accountant/finance partner
  • Communication with various stakeholders, clients, suppliers etc.
  • Managing and maintain the filing system
  • Managing personal tasks as needed
  • Implementing and maintaining procedures/office administrative systems
  • Deal with clients
  • Responsible for prompt and efficient processing of customer enquiries, orders, and their fulfilment.
  • Maintains adequate records of all correspondence and communications received and sent.
  • Keeping track of all insurance of property and aviation
  • Renewing of vehicle licenses
  • Dealing with all property related paper work and filling all documents in folders.
  • Any other tasks required as and when needed

Requirements of the Role:
  • Proficiency in MS Office. Advanced Excel skills
  • Knowledge of Office Administrator responsibilities, systems, and procedures
  • Post Matric Qualification; additional qualification as an administrative assistant or Secretary will be a plus
  • Minimum of 5 years working experience performing office or operational management functions
