JOB SUMMARY:
Seeking a Young, Dynamic Personal Assistant with 24/7 availability to Executives and exceptionally strong Afrikaans communication skills. We are seeking a High-Level Performer with experience from the Corporate Industry, preferably Consulting, Banking, Financial Services. Must have experience managing multiple High-Level Executives.

JOB DESCRIPTION:

Our Client, a Global, Corporate Financial Services Management Consulting Firm, seeks a Personal Assistant to join their operations team.

This role directly reports to the COO, CEO and CFO. As a Personal Assistant you will be accountable for providing support to the COO, CEO and CFO, whilst administrating the daily office operations.

Your main tasks and responsibilities will include, but not limited to:

  • Personal Assistant to the COO, CEO and CFO with a strong focus on managing their diaries and calendars.
  • Prioritising matters, set up meetings, sending reminders.
  • Organizing catering, when necessary, limited personal tasks and any other administrative tasks that help the executive perform their job.
  • Providing administrative support to the Senior Executive Team.
  • Making travel arrangements for the Senior Executive and Consulting team.
  • Acting as the point of contact among executives, employees, and other external partners.
  • Responsible for the smooth running of the office including purchasing and maintenance arrangements of day-to-day office supplies and equipment and maintaining office services and suppliers’ contracts.
  • Ensure general neatness and sanitization within the office is managed and maintained. Keeping record of office expenditure and liaise with finance regarding expenses.
  • Manage relationships with vendors, service providers, and landlord and ensure that all requirements are managed and maintained according to relevant SLA’s.
  • Planning, strategizing, and coordinating of all social events within the company throughout the year e.g., venue co-ordination, invites, accommodation, transport arrangements, liaise with service provider, itinerary, travel.
  • Communication to employees in relation to company events, campaigns, online calendar and strategy sessions.
  • Manage the process around company gifts, including coordination and logistics around the delivery of the gifts.
  • Management and coordination of all courier requirements (SA & UK).
  • Coordinate with IT department on all IT related issues.
  • Maintain and update the register of all assets, i.e. IT Equipment, office furniture and ergonomic equipment.
  • Provide administrative support and assistance to the business and internal teams (Training, Operations, People & Culture, Finance, etc.)

The successful candidate must have:

  • Excellent Grade 12 results with strong preferece for a degree or secretarial / PA diploma.
  • At least 3 to 5 years working experience in a personal assistant and office management or administrative role with a proven track record of success.
  • Experience with International Travel Arrangements including VISA Applications, Accomodation and Logistics.
  • Be well-organized and energetic and can manage daily tasks effectively.
  • Strong attention to detail.
  • Have Excellent computer skills and a high degree of proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
  • Exceptional Afrikaanse and English, verbal and written communication skills.
  • Act with discretion and confidentiality.
  • Is able to work in a dynamic environment where one day never looks like another.
  • Is enthusiastic in their approach to their work.
  • Has a hands-on approach and is not afraid to roll up their sleeves and get stuck in.
  • Regards themselves as a high performer.
  • Works well under pressure to meet the operational team objectives.
  • Is sociable and enjoys interacting with others, both at work and at social events.
  • Works well independently and in a team.
  • Must have own car and drivers licence and must be available 24/7 to assist the Executive Team.
