SENIOR COMMERCIAL SECRETARY
- BANKING & FINANCE TEAM

SANDTON

MARKET RELATED, DEPENDING ON EXPERIENCE

POSITION INFO:
Minimum requirements:

Matric essential, with a tertiary qualification beneficial
At least 7 or more years experience as a legal secretary in a commercial department
Excellent knowledge of MS Word programmes (more specifically MS Word 2010, Excel, Adobe and other PDF programs such as Foxit)
Knowledge on Aderant Expert (CMS) accounting system
Knowledge of FileSite/iManage
Dictaphone and copy-typing of a wide range of documents
Incorporating manuscript amendments to documents
Matter management
Formatting of a wide range of documents
Converting and formatting documents into house style
Preparing indices and transaction bibles once a matter is finalised
Monitoring and screening of emails
Preparing resource and client files
General office and personal administration (including diary management, answering and screening telephone calls and tracking messages in the absence of the professionals)
Preparing pre-bills and billing memos (sending same to clients)
Managing debtors with the accounts department and clients
FICA administration: following up to ensure the FICA requirements are complete
Filing
Must be well-organised and conscientious
Strong communication skills (verbal and written)
Strong administration and organisational skills in order to manage professionals practices
General knowledge of legal terms
Display specific attention to detail, including grammar and spelling
Good interpersonal skills
Maintain high standards of confidentiality
Honesty, reliability and punctuality
Take initiative and be diligent
Ability to multi-task
Ability to work well under pressure
Be willing and able to work after hours on occasion
Excellent client relationship skills
