Programme Context

  • Large and complex 2+ year programme spanning data architecture, FO, MO, BO for the institutional business and a Retail re-outsourcing.
  • There are multiple vendors and multiple constituent projects impacting a large part of the business.
  • We will be running a direct team of 50 people, plus many more stakeholders and vendor staff. We are also custodians of a large multi-year budget and so a programme control framework is required that this role will be expected to help implement.

Overview

  • The role is to support the Programme Director, programme leadership and programme sponsors.
  • Help define and implement a suite of programme management processes and controls to keep the programme on track and integrated end to end in a hybrid waterfall and agile environment.
  • As a minimum, define and implement key controls including plan management, dependency management, financial control, resource management, risk management, MI production, governance and integration with in-house processes.

Responsibilities

Plan and dependency management

  • o Collation of programme plans and maintenance of those plans on a weekly and monthly basis. Ensure plans are an accurate reflection of work conducted and yet to be executed.
  • o Ensure plans are integrated across the constituent projects, are of high quality at project level and feed into plan integration at a programme level, where they are maintained by this role.
  • o Drive identification and articulation of dependencies across the projects and track at programme level
  • o Organise and drive planning meetings.

Risk management

  • o Operate a risk and issue management process that provides clear basis for escalation to programme and executive leaders.
  • o Ensure risks and issue are maintained, prioritised, tasked and actioned across the programme through suitable process and delegation.
  • o Provide RAID reporting as required.

Financial management

  • o Collation of programme financial reporting in conjunction with Stanlib Finance, PM's and programme leadership
  • o Track programme related spend against the programme, ensuring constituent projects are properly tracked by relevant resources.
  • o Ensure process in place to assess actuals between financial reports and project manager expectations, resolving discrepancies and ensuring golden source of date is maintained
  • o Collate and challenge forecasts across constituent projects and programme.
  • o Work closely with Finance project and programme leadership as required.t
  • o Ensure financial tracking is aligned with resource management process.

Project reporting

  • o Production of programme status reports to feed into governance processes
  • o Ad hoc progress report production as required

Support of governance

  • o Ensure project and programme governance processes are effective and supported in a timely way, responding to requests of programme leadership as required

Management and administration

  • o Implement appropriate document management for the programme
  • o Establish and manage governance and PMO meetings at the programme level as required
  • o Ensure controls are comprehensive and integrated across the programme, providing effective control and decision support to the programme and executive leadership.
  • o Attend programme level meetings where required and deputise for the Programme Director in respect of programme control process matters.

Skills and Experience Required

  • Experience in supporting complex and extended programme delivery, ideally as a practitioner manager and PMO
  • Experience in financial services change delivery, ideally with asset and/or wealth managers.
  • Open communicator and engaging personal style.
  • Proficient in all aspects of programme delivery control.
  • Capable of mastering the detail and ensuring key messages are communicated.
  • Comfortable challenging information and approach at a senior level where necessary
  • Outcome oriented, organised and committed working style.
  • Ideally, experience of both agile and waterfall delivery frameworks
  • Ideally, experience of programmes delivering outsource operating models, technology change and multiple vendor engagements.
