Warehouse Facilities Manager

SUMMARY:
Datacentrix is looking for a qualified Facilities Manager to take charge of operations within a warehouse environment. Must have extensive experience in security management (physical security, guarding, armed escorts, warehouse security systems) and facilities management (maintenance, preventative maintenance, cleaning and housekeeping). Must also be skilled in large-scale project management, including security upgrades and facilities projects, with expertise in costing, futureproofing, daily reporting and executive-level presentations (EXCO and Holdings).

The Facilities Manager must have proven ability to manage multiple departments and functions, with strong background in SHEQ compliance (ISO 9001, 14001, 45001), vendor and contractor management, financial oversight, and end-to-end project delivery. Experienced in staff development through internal training initiatives, while ensuring operational efficiency, compliance and cost-effectiveness.

POSITION INFO:
Minimum Qualifications/Certifications Required:

• Matric/Grade 12 plus Diploma in Supply Chain/Logistics Management
• Experience in SHEQ compliance (ISO 9001, 14001, 45001)
• Advanced Excel
• 3 years experience in Security Management, including physical security (guarding, armed escorts etc,) and security systems in a Warehouse environment
• 3 years experience in Facilities Management, including maintenance, preventative maintenance, general cleaning and housekeeping
• 3 years experience Large project management for security upgrades
• Large Facilities project management, including costing from multiple sources, identification of futureproof solutions, daily management reporting and feedback
• EXCO and Holdings reporting and presentations
• Management of multiple departments and functions
• Identifying and providing Internal training
• End to end large project management
• Vendor and Contractor Management and compliance
• Experience in management of department and/or functions
• Financial background

• Security: Operational management of Security Guards on site, including adherence to all the company, SHEQ and ISO requirements in all areas, constant assessment of security processes to always ensure best practice and adherence to Company policy and insurance requirements and proposals on enhancements where required. Acting as liaison for all security matters. All hours (24/7) contact for all security incidents.
• Security Systems: Manage and maintain the physical security systems (Electric Fence etc.) with daily checks and controls, always ensuring full functionality. Management of access control, including accurate access levels and allocations and reports. Collate quotes and provide proposals when upgrade or maintenance is required. Obtain relevant approvals and manage urgent implementations. All hours (24/7) contact for all security related requirements, including alarms, arranging access, opening the facility etc.
• Vendors & Contractors: Ensuring SHEQ & Legal Compliance for all Facility & Logistics Contractors – researching where relevant, obtaining SHEQ input on all Contractor selection (signed 37:2 agreements and OHS files) and performance management aligned to ISO standards, Coordination of Risk assessments , Objectives and audits, logging and managing of Non-Conformances, Control of Documents and Records, input into Management reviews, payment reconciliations and approvals.
• Facilities: Building and security upgrades, including research, proposals, cost comparisons, management presentations and approvals. General building maintenance, budgeting and coordination. Management of ± 6 staff members, responsible for general maintenance, all cleaning and gardening.
• Reporting: on all management areas, including all EXCO, management, analytical and statistical reporting (daily, weekly, monthly, quarterly, yearly and ad-hoc as required).

• Identifying and managing of High Level (overall area of management), Operational (per department), SHEQ and Legal Risks, Objectives and Action plans for overall area of management and individually for each department.
• Ensuring compliance with the company policies & procedures.
• Managing corrective, preventative and disciplinary actions for any non-conformances in total area of management.
• Vendor & Contractor Management for total area of management, including all required documentation.
• Maintaining and assessing all policies and processes in total area of management, implementing enhancements where applicable.
• Ensuring all reporting from total area of management is submitted by all due dates and times, correct on first submission.
• Operational Management of full area of management, including all functions of all departments.
• Managing employee engagement and skills development for full area of management.
