R14 000 - R18 000 P/M DEPENDING ON EXPERIENCE AND QUALIFICATIONS 

POSITION INFO:
Minimum requirements:

• Commercial Secretary to the Senior Associate and Director of the commercial department
• Capturing fees, invoicing, debt collection, and debt management
• Maintaining electronic and hardcopy filing systems
• Liaise with internal staff
• Assisting with the formatting of documents, ordering of stationery, photocopies and binding
  of documents, and printing of documents
• Opening of new files and requesting the necessary FICA documents & and preparing letters of engagement to new clients
• Time capturing of both the Senior Associate and Director; printing of draft and amendments to invoices , sending of invoices to all clients and liaising on outstanding
• Arrange for filing and service of documents or as per instructions received; printing of all CVs received for Candidate Attorneys
• Opening and closing new client accounts with Charter Holdings regarding Investec accounts, money market fund, and the call account fund; requesting; requested necessary FICA or updated FICA documents to open the account with Investec
• Liaise with Charter regarding a property guarantee, if required; liaise with Charter regarding any transactions or withdrawals from the Investec account and ensure the
  necessary forms are submitted before the cut-off time
• Liaise with messenger regarding documents to be filed at court; arrange with couriers regarding deliveries; notarial documents, an appointment with clients, and payment
  thereof
• Assist with personal assistant duties to the director regarding collections, shopping, dry cleaning, coffees, and lunches
• Assist Senior Associate attorney with apostilling of documents, arrange to be sent to DIRCO , arrange for lodgment of documents at the deeds office and confirm registration
• Place advertisements in the relevant newspapers regarding Section 34; obtain quotes; arrange payment; arrange to run concurrently with the placement in the Government
  Gazette; request the required snippets as proof of placement
• Setup of new trusts; completing the necessary forms and obtaining the necessary from the client; arrange for lodgment at the master’s offices and diarize follow-up regarding the letters of authority or amendment
• Arrange necessary textbooks to be purchased with Lexis Nexis and Juta; arrange payment with accounts regarding disbursements including renewals with Lexis Nexis

• 2-3 years’ experience as a commercial secretary
• National Senior Certificate is essential
• Excellent knowledge of MS Word programmes (MS Word 2010)
• Working knowledge of MS Excel
• Good typing skills (at least 60 wpm)
• Well organised and conscientious
• Strong communication skillS
• Excellent interpersonal skills and client relationship skills
• Attention to detail
• Honest, reliable, and punctual
• Ability to work well under pressure
• Secretarial diploma/Legal secretarial diploma or Paralegal qualification will be advantageous
