POSITION INFO:

Primary Purpose:
To coordinate tender/bid processes, -procedures and –submissions to ensure that all requirements of the tender/bid are met, and that funding is adequately estimated to ensure the successful and profitable execution of awarded contracts Key Performance Areas Key Tasks:
Tender/bid/feasibility studies coordination
Working within the Groups Bid Winning Process guidelines:
•To review tender/bid /feasibility study documents to identify the client’srequirements
•Coordinate input from the relevant stakeholders in the company to articulatethe bid strategy to ensure the responses are tailored to meet the customer’sneeds
•Design and coordinate a tender-build-up programme to ensure that all tender/bid/feasibility study submission deadlines are met
•Schedule and coordinate (or chair if required) all internal meetings related totenders/bids including bid kick-off meetings, commercial reviews, technicalreviews, finance reviews, legal reviews, safety reviews, etc.
•Co-ordinate the gathering of information for Pre-Qualification Questionnaires and tender/bid documents, ensuring that the content isaccurate and consistently well presented.
•Coordinate and attend client site meetings/clarification meetings
•Provide a single point of contact between company stakeholders and thecustomer for all communications during the pre-qualification stages and torespond to all customer clarification requests post tender/bid submission
•Obtain guidance and approvals for all deviations to company standardofferings captured in the tender/bid document
•Identify, analyse and develop responses to potential commercial risks with regards to the tender/bid/feasibility study
•Identify and allocate work to sub-contractors as part of the tender
•Finalise project schedule, capacity charts and tender programme
•Liaise with the legal department ensure that contract conditions contained intender/bid are not to the disadvantage of the company
•Coordinate the internal approval and sign-off process of tenders/bids
•Complete and submit Pre-Qualification Questionnaires (PQQ’s) and tender/bid documentation of a high standard which meet the potentialclient’s requirements
•Compile handover file for the Commercial Department after a successful bid
•Assist project execution teams at kick off meetings with the understanding ofthe tender
Cost estimation
•Calculate the estimated bill of quantities and scope of work to get total estimated costs/rates for potential contracts (e.g. bill of quantities, method statement)
•Calculate cash flow planning and potential escalations
•Obtain quotes from suppliers and review pricing in light of the client’srequirements
•Calculate a total rate for the clientQualifications, Skills & Experience
•Degree in Quantity Surveying
•Microsoft Project Training (will be an advantage)
•Contract Law Qualification (will be an advantage)
•At least 3 years’ experience as in a construction, mining or engineering environment
•Valid driver’s license
•Excellent verbal and written communication skills in English
•Working knowledge of Microsoft Office applications
•Document management software (i.e. Hummingbird or equivalent)
•CCS software knowledge & experienceWorking environment
Office environment, as well as risk environment (if and when required)
