POSITION INFO:
Position: Executive Assistant to the CEO

Location: Ottery, Western Cape

Direct Report: CEO

Minimum Qualifying Criteria:

Diploma in Legal Secretarial / Paralegal or similar
Experience: Minimum 5 years in a senior support role
Languages: Fluent in English & Afrikaans
Tech: Advanced Microsoft Office skills

Roles and Responsibilities:

Executive & Secretarial Support

Manage communications, diaries, travel, reports, and presentations
Handle confidential matters with utmost discretion
Coordinate meetings, board packs, minute-taking & follow-ups

Administration & Office Coordination

Oversee purchasing processes and CEO’s expense claims
Arrange travel, forex, and event logistics
Maintain filing systems and manage SLA/contracts access

Imports & Forex Oversight

Manage documentation, FEC bookings, and payment processes
Reconcile bank transactions and support Finance with forecasts

Insurance & Asset Management

Handle vehicle and business insurance policies and claims
Coordinate marine and transit cover as needed

Event Planning & Special Projects

Organise internal Indabas and external corporate events
Partner with key stakeholders across departments
